Finance & Administration Manager Wanted In Lusaka Zambia


Women and Law in Southern Africa is seeking for a highly motivated and person to fill the role of Finance and Administration Manager. The Finance & Administration Manager will be reporting to the National DirectorThe successful candidate will mainly work on the USAID/DFID Access to Justice and other Project Grant.
Main Responsibilities and duties will include but not limited to the following;
  1. Preparation of Monthly Financial reports for the project and ensure timely submission to USAID.
  2. Preparation of (AFS) Annual Financial statements, facilitating annual Audits and specific project Audits.
  3. Management of Budgets, monthly Cash flow projections and monthly Liquidation reports.
  4. Reviewing bank reconciliations and ensuring the National Director approves the reconciliations monthly basis.
  5. Ensuring project expenditures are tracked and budget to actuals are prepared and reviewed including Payroll and statutory payments made on time.
  6. Review of disbursement vouchers for approval to ensure compliance and required supporting documentation are attached.
  7. Management of the finance office to ensure efficient procurement of goods and services for the project including administrative and technical service support
  8. Effective financial management of Grants, sub-awards and procurement while ensuring compliance with USAID regulations. Compiling VAT reports on the USAID project.
  9. Review of and approval of petty cash transactions in accordance with WLSA Zambia Financial manual.
  10. Management of all project expenditure ensuring for approval as per WLSA Zambia financial Manual and project requirements.
  11. Managing filing system of the accounting records both electronic and physical to ensure they incorporate effective control systems and that they are accessible at all times
  12. Managing project procurement cycle from solicitation to payment and Inventory management
  13. Managing organisational Human resource, and organizational transport, Management of all office movements and making fuel monthly reconciliations. Vehicle Logbooks. Authorizing all office project trips

  15. Supervision of Finance and Administration staff including capacity building.
  16. Checking that all entries in Pastel accounting package are updated periodically and reviewed
  17. Active participation in administrative functions requiring guidance on compliance and controls and necessary financial input for systems improvement. Participation and senior Management meetings and advising the National Director.
Experience
  • 5 Years minimum grant experience preferably on a USAID and DFID funded project.
  • Supervisory and/or management experience. Knowledge of project management and project cycles will be an added advantage.
  • Ability to adhere to agreed deadlines and timeframes
Conditions.
  • Annual gross salary of ZMW 251,903.83 p.a plus Medical services and 15% Gratuity.
Qualifications
  • Full ACCA or CIMA and ZICA, Degree in Finance or equivalent. Part or Full MBA will be an added advantage. Must be a ZICA member
