Human Resource Coordinator Job: Afrisec Management
We are looking for a qualified Human Resource Coordinator to fill the vacant position based in Lusaka. The ideal HR Coordinator will possess excellent knowledge of human resource management. S/he will be a strategic thinker and problem-solver with excellent communication skills.
DUTIES AND RESPONSIBILITIES:
HR and Payroll Administration:
- Ensure all employees are issued timely with a contract of employment and associated paperwork as necessary.
- Ensure all data for Payroll processing has been verified, is accurate and backed up by relevant documentation and forms such as timesheets, attendance registers, leave forms etc.
- Ensure all personnel files are up-to-date.
Recruitment and Selection:
- Coordinate all Recruitment, Selection and Induction programs and ensure compliance with the company’s policy and procedures through ensuring that all prospective employees are resourced efficiently and effectively through the delivery of the following:
- Draft adverts and ensure that these are placed to achieve maximum exposure within budget
- Ensure all applicants are responded to within the appropriate timescales.
- Shortlist candidates, arrange and take part in interviews as required,
- Undertake to reference of successful candidates.
- Issue contracts of employment and associated paperwork to all new colleagues and issue contractual amendments as necessary
- Performance Management, Engagement & best practice
- Provide practical, accurate and professional advice to both staff and Management in the application of HR Policies and Procedures.
- Develop and coordinate appraisal and interim reviews for all employees.
- Issue appraisal and interim review documentation in a timely fashion, and review all appraisals for consistency and training needs.
- Assist relevant managers and supervisors to collate and follow up on action plans.
- Assist in the planning and management of workplace change resulting from technology, restructuring and the needs of the organization.
- Keep up-to-date with developments, legislation, and regulations relevant to Human Resources.
- Undertake ongoing policy review, ensuring necessary policies reflect contemporary practice and ensure consistency of applications across the company.
- Provide guidance, coaching and mentoring to HR team members.
- Ensure that exit interviews are conducted throughout the company.
Disciplinary and Grievance Procedures
- Ensure that the company’s disciplinary and grievance procedures are followed and implemented fairly and consistently.
- Coordinate all disciplinary cases and ensure full adherence to policies, procedures, and legislation.
- Manage specific employment relations matters such as attending to labor disputes and liaising with regulatory authorities.
Occupational Health & Safety/Risk Management
- Develop and implement occupational health & Safety/Risk Management policies and procedures.
- Coordinate all Health & Safety activities.
Information Technology & Records Management
- Ensure appropriate and thorough electronic file management within the HR department is maintained.
- Manage the effective utilization of Human Resources Information Systems.
- Ensure effective use of relevant application software systems (appropriate level of training provided).
- Develop and prepare HR metric data and operational reports by creating, collating, updating and utilizing spreadsheets to analyze and trend data.
- Developing and drafting routine correspondence, document templates and reporting formats (e.g. forms, letters, checklists, spreadsheets, emails etc).
ESSENTIAL REQUIREMENTS:
- Excellent IT skills i.e. Word, Excel, PowerPoint, and Outlook.
- A demonstrable track record, gained within a fast paced and challenging commercial and/or security company.
- Previous experience gained working for a highly demanding team.
- Ability to manage a voluminous workload, often with conflicting priorities and to stringent deadlines.
- Demonstrable experience of dealing with highly confidential and often sensitive information.
- Highly organized and a ‘completer-finisher’.
- First class team player with a totally flexible approach.
- Proactive with the ability to use own initiative.
- Excellent communication skills (both written and verbal).
- Professional and personable, with diplomacy and tact.
- Self-starter with a positive and enthusiastic ‘can do’ attitude.
- Sound knowledge in current Zambia labor law
- Must be a member of Zambia Institute of Human Resource Management
- Relevant diploma or degree with at least 5 year’s HR & training experience
