New Job Vacancy at Rural Electrification Authority


The Rural Electrification Authority is a statutory body established pursuant to the enactment of the Rural Electrification Act No. 20 of the Laws of Zambia of 2003. One of the main functions of the Authority is to facilitate availability and access to electricity by all Zambians living in rural areas by extending the national grid and/or through development of isolated min-grids using renewable energy sources such as hydro, solar, wind and others.
Rural Electrification Authority is an Equal Opportunity Employer. In order to effectively manage the functions of the Chief Executive Officer’s office, the Authority wishes to recruit a suitably qualified, self-motivated and experienced person for the following position:

(1) EXECUTIVE ASSISTANT (01 Position)

Department: Executive
Reports To: Chief Executive Officer
Staff Reporting: One (01)

Qualifications:

  • Full Grade Twelve Certificate, Bachelor of Arts Degree in any Social Sciences and a member of a relevant professional body.

The applicants should possess the following skills and qualifications:

  1. A minimum of 3 years’ professional experience in an executive assistant role;
  2. Ability to undertake research and work with minimum supervision;
  3. Must possess good communication and interpersonal skills;
  4. Ability to write routine reports and correspondence;
  5. Should possess high level verbal and written communications skills
  6. Ability to prioritize, remain calm under pressure and remain focused all the times;
  7. Ability to interact effectively with co-workers and external clients;;
  8. Sound knowledge of Travel Logistics, Scheduling, Informing Others, Presentation Skills, Self-Confidence, Meeting Management, Client Relationships, Written Communication, Promoting Process Improvement, Decision Making, Administrative Writing Skills;
  9. Must be less than 35 years of age.

Purpose of the Job:

Manages the Chief Executive Officer’s time and promotes the corporate image by representing CEO internally and externally; providing liaison between the CEO, key executives and employees.

Main Duties and Accountabilities:

  • Provides comprehensive support services to the CEO that ensures a professional, responsive and effective experience with the organization as a whole.
  • Prepares reports by collecting and analyzing information.
  • Enhances CEO’s and Authority’s reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments
  • Represents the CEO by welcoming visitors, reviewing correspondence; arranging corporate functions; answering questions and meeting requests directed to the CEO
  • Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans
  • Provides complex travel arrangements. Becomes familiar with the specific, detailed needs of the CEO and travel partners; creates consistent travel itinerary portfolios for reference and be available during travel times to quickly address any last minute changes or cancellations.
  • Arrange corporate travel and meetings for CEO by developing itineraries and agendas;
  • Calendar management – Prioritizes inquiries and requests and makes judgments and recommendations to ensure smooth day-to-day engagements.
  • Assist with the implementation of initiatives and systemic priorities as relates to corporate services within the organization;
  • Contributes to the development of organizational strategy and policies.
  • Document, track and monitor Executive Office issues to ensure timely resolutions. Redistributes workload where necessary to facilitate completion of work within given timeframe;
  • Assists Directors to make consistent decisions by advising them and serving as liaison between them and the CEO;
  • Keeps all important phone and fax numbers, e-mail addresses and physical addresses by keeping records of business transactions of the office for follow-up;
  • Writes error-free, eloquent emails, minutes and letters for various events
  • Performs such other duties as assigned by the CEO.
