Office Assistant Job: World Vision Zambia


World Vision started work in Zambia in 1981 with three small community developments projects in Mkushi district north of Lusaka. In 1995, World Vision Zambia started implementing the Area Development Programme (ADP) approach involving detailed planning and documentation as well as covering a large geographical area with significant amounts of financial resources, longer project life span. World Vision Zambia has now 40 large scale programmes well spread in all 10 provinces of the country. Today, World Vision Zambia provides support to approximately 120,000 registered children in child sponsorship within the 40 ADPs that are multi-sectoral in nature and impact more than two million people countrywide in areas of health, education, livelihood security and HIV and AIDS support. To provide a wide range of administrative support services to the Area Programme office staff. To develop and maintain efficient flow of work in accordance with systems and procedures, with particular emphasis on keeping a clean work environment for staff and assisting in operation of office machines and filing and documentation.

Responsibilities

  • Provide efficient cleaning services, dusting, empty out trash in each office and ensure that there is no accumulation of trash in the offices, both outside and inside.
  • Assist with filing of documents, communications, and give support in supplies and basic office services.
  • Assist with receiving and distribution of items from stores and keeping up to date stores records in liaison with the assistant accountant.
  • Assist in the collection of quotations and filling of GRNs, LPOs and other finance documents and ensuring that all items are collected and signed for by the respective ADPs and departments.
  • Assist with logistical arrangements for meetings and other functions
  • Ensuring that office repairs and maintenance are reported and worked on timely
  • Ensure that security is maintained making sure that all windows are closed and offices are locked in the evenings and opened in the morning, and all electrical appliances are switched off before knocking off.

Qualifications

  • Minimum of a full Grade 12 School Certificate
  • Must be fluent in written and spoken English
  • Must be flexible in work duties and cultural sensitive
  • Must be computer literate, and able to work with office machines
  • Previous experience working in an office environment is desirable
  • Ability to work under pressure and minimum supervision
  • Must have excellent interpersonal skills and good morals
  • Perform other duties as required
  • Must be a committed Christian, able to stand above denominational diversities

Working Environment or Conditions:

  • Work environment: Office-based 95%, field 5%
  • Travel, international as required
