Office Manager: Concern Worldwide


Job Title: Office Manager

Concern Worldwide is an International humanitarian NGO working in Zambia since 2002. Concern’s Programmes focus on the extreme poor and work to improve nutrition, increase agricultural production, empower women and promote livelihood security and resilience in Central and Western Provinces. We are currently looking to recruit an Office Manager for our head office in Lusaka. Concern is an equal opportunity employer and would welcome applications from qualified women.

Job purpose:

The post holder will have overall oversight for the administration, logistics and transport functions for Lusaka office, and have responsibility for fleet management across all Concern Worldwide Zambia offices and will ensure that an effective and efficient transport management system is in place.

Main duties and responsibilities:

1) Administration: Ensuring that the administration function is being implemented efficiently and in line with Concern policies. This will entail oversight of health and safety, security management, rental and utility bills, repairs and maintenance, organising and managing events including all accommodation and logistics.

2) Transport: Responsible for fleet management for Concern Worldwide and ensuring that an effective and efficient transport management system is in place. Together with the Assistant Country Director-Systems, assessing the transport needs of Concern Zambia and developing a plan to meet both current and anticipated future needs.

3) Logistics: Oversight of stores and warehousing for the Lusaka office in compliance with Concern policies and manuals.

4) Budgeting: Responsible for monitoring the Administration and Transport budgets for the Lusaka office as well as providing input on the annual budgeting process in relation to transport and administration costs.

Requirements:

  • A graduate qualification in a relevant subject (Management, Logistics, Administration) with 3 years experience in a similar role, or;
  • A Diploma in Logistics and Transport Management or Business Administration with a minimum of 5 years experience in a similar role, preferably with an International NGO.
  • Solid experience of staff management.
  • Good knowledge of basic accounting and budgeting.
  • Good level of computer literacy, and knowledge of MS Office Suite 2010.
  • Excellent organisational and report writing skills.
