Office Manager Job In Zambia


BioCarbon Partners (BCP) is an African-registered and headquartered forest conservation and community development social enterprise. BCP is implementing the Community Forests Program (CFP) funded by USAID/Zambia in Eastern Province. The CFP award represents a significant addition to the BCP portfolio and budget and enables BCP as a company to expand its business. The CFP expansion, and future growth of the company requires professional administration, backstopping and support, which is compliant with USAID and BCP policies.

Scope of Work:

BCP seeks to recruit an Office Manager with logistical skills to support the CFP Support Office in Mfuwe. This position targets exceptional office management, administrative backstopping and taking care of detail so that team members can focus on working in rural areas in support of BCP’s mission which is to reduce poverty and enhance conservation.

Objective and Tasks:

Background:

Principal Duties and Responsibilities: This is a local office support position. The Office Manager will work as part of the CFP office in Mfuwe with responsibilities including:

Office Management and other administrative support:

  • Manage Mfuwe offices (Main and Home) equipment, infrastructure and inventory to support staff
  • Assisting part-time as needed in an Executive Assistant role to the Managing Director.
  • Oversee the maintenance of project vehicles and office equipment.
  • Maintain an inventory system for office equipment and stores management,
  • Coordinate with the Lusaka Support Office and Stakeholders as required
  • Provide support to field offices on setting up effective systems, monitoring inventory and fuel systems, etc.
  • Supervise administrative staff
  • Assist with implementing USAID compliant procurement
  • Provide any other administrative or human resources support as assigned by Supervisor to ensure efficient and smooth support to the project office.

Logistics:

  • Supervise and Coordinate the work of Logistics Technicians in tasks and duties such as trips and vehicle service schedules.
  • Fleet management of all project vehicles.

Job Qualifications

  • Private Sector experience required
  • Minimum five years of experience in an administrative capacity required;
  • Demonstrated experience in logistics in a tourism, mining or other setting
  • Proficiency with MS Office Suite (Word, Excel, PowerPoint, etc.);
  • Fluency in English required;
  • Excellent organizational skills;
  • Ability to complete multiple tasks efficiently and with attention to detail; and
  • Proactive individual with a positive attitude willing to work in team settings.

Desired Skills and Experience

  • Understanding of USAID regulations concerning procurement, contracts, finance and administrative operations, and a willingness to learn these systems
  • Relevant Diploma in related field or equivalent standard of education.
  • Attention to detail, and a passion for professional systems development.
  • Great team-building, mentoring and interpersonal skills.
  • Exceptional written, oral, interpersonal, and presentation skills and the ability to effectively interface with senior management, BCP’s board of directors, and staff.
  • Passion for BCP’s mission.
