Senior Accountant – Grants and Contracts
(Lusaka, Zambia)
The Senior Accountant – Grants and Contracts, will provide project administration and budget management support to the Program Leadership in Zambia. The role is responsible for setting up donor-funded projects in the ERP finance and project management system, maintain project data in the system, FTE, and budget revisions, assist project leaders in contracts to review and management and act as liaison with headquarters pertaining to project and budget management related matters.
Key Responsibilities:
  1. Analyze and review financial data to ensure proper Project accounting is carried out and preparation of donor and monthly internal financial reports to project Managers/leaders
  2. Efficient and effective project (CRP and Bilateral grants) administration and budget management support to the Zambia team
  3. Accurate budget preparation for projects and ensure that budgets are in line with donor guidelines and WorldFish full cost recovery
  4. Obtaining clearances from HQ, preparation of partner and consultancy contracts is in line with donor budget and WorldFish standard legal clauses. Ensure there is a tracking system of MOAs and contracts to avoid delays
  5. On time in setting up new projects in the ERP (OCS) system prior to granting start up and ensure accuracy of project data; eg proposals and concept notes
  6. Responsible for updating and maintaining all project data in the various master files in OCS
  7. On time FTE and budget revisions as and when they are required to avoid projects’ under or over spending
  8. Assist Project Leaders to monitor project’ deliverables are completed on time to avoid delay in reporting
  9. Ensure that payments to partners and consultants are on time and according to the payment schedules and in line with the outputs stipulated in the contracts
  10. Provide assistance in developing an inventory for storing all project documents
  11. Management of Partner contracts and monitoring of financial activities including advances to partners to ensure they are as per agreement and in line with donor rules and regulations
  12. Coordinate with internal and external auditors to meet project audits whether interim or yearend audit objectives
  13. Coordinate and act as lead resource, guide and mentor for training finance and project staff in, donor requirements, budgeting and costing and grant management related policies and procedures as per WorldFish and Donor rules and regulations
Competencies Required
  1. 5 years relevant experience in financial management and Accounting;
  2. Possess strong organization and time management skills to process tasks efficiently
  3. Possess comprehensive knowledge and understanding of standard office procedures
  4. Experience in budget management and tracking of donor-funded grants (projects)
  5. Strong IT skills with knowledge and familiar with Microsoft excel, word, etc
  6. Ability to work under pressure
  7. Demonstrated ability to work as part of a dispersed team with colleagues in rural hubs
  8. Excellent written and spoken English language skills
  9. Good people management skills and customer service oriented
  10. Demonstrated commitment to quality through accurate and timely deliverables
Highly Desired
  1. High-level managerial, organization and planning skills
  2. Excellent communication skills both verbal and written
  3. Ability to network and maintain close communication with all staff
Education Requirements
  1. At least degree in Accountancy, ACCA Final stage, CIMA Managerial or equivalent
  2. At least 3 years minimum experience in management with international non-profit organizations
