The Accounts Officer will support the team across a variety of financial tasks. Reporting to the Finance and Administration Manager, Community Programmes Coordinator & Country Coordinator, in all aspects of day to day accounting including financial reporting, analysis and budgets.
Job Description
Key accountabilities for the role include but are not limited to:
- Assist in preparing monthly financial reports against contract budgets and program activities
- Supports the preparation and consolidation of the annual program budgets
- Reconciling all organization Bank accounts, local and foreign currencies, managing cash, Both ZMW and USD
- Maintenance of Fixed Asset register, ensuring depreciation is calculated appropriately • Prepare periodic budgetary control statements to determine projects financial performance and suggest concrete action,
- Undertake financial monitoring on activities for the projects, and undertake troubleshooting and suggest corrective action where necessary;
- Prepare financial reports on monthly/quarterly basis for internal use and for external reporting respectively;
- Analyse variances and explore potential problems with project budget, working closely with Programs staff to forecast and address any variances;
- Provide technical assistance to program staff in managing financial documentation • Provide technical assistance to the programme staff to ensure that project implementation processes and procedures are in line with the funding agencies standards; Monitoring and reviewing financial reports against agreed project budgets to ensure validity of expenditure; Work with the Finance Manager to assist the Country Coordinator to prepare projects, annual and multi-year budgets;
- Provide technical advice to PPHPZ on administration and financial issues;
- Assist the finance and Admin Manager to manage all HR matters including contracts, payroll, insurance etc.
- Ensure compliance to tax and labour statutory obligations are adhered to e.g. NAPSA, PAYE, Registrar of Societies, leave days, etc.
- Assisting the Finance Manager with preparation of final Accounts
- Participate in internal and external audits by providing documents and responding to audit queries that arise
- Assess potential clients, individuals or businesses seeking loans from the Swalisano Urban Poor Fund
- Perform Audits on the savings by reconciling the pass books against actual moneys deposited in the bank
- Advise borrowers on financial status of their loans and the fund, methods of payments and ensure that repayments are done in good time.
- Produce financial statements and reports for the Swalisano urban poor fund. • Prepare, review and input all documentation required for data entry into the Pastel Accounting System as well as in the Loan Fund management System.
- Prepare monthly bank reconciliations for the Swalisano fund which is a community fund on monthly basis
- Preparing trial balance, monthly reports for the fund performance
- Monitoring all IGA/Housing/ Sanitation etc loan performances, and evaluating the impact on beneficiaries. Devising strategies to boosting loan repayments
- Assist in preparing monthly financial reports against contract budgets and program activities
- Work with the Finance Manager to ensure grants reports are submitted on time and review to ensure expenditure are within budget and as per agreement • Supports the preparation and consolidation of the annual program budgets • Review and reconcile analysis of fuel and mileage in vehicle log sheets for all project vehicles monthly.
- Process cheques and code expenditure (travel, advances, imprest and purchase requisition)
- Documenting financial information and maintaining all financial records for projects and for the organisation, ensuring expenditures are coded correctly.

Qualifications & Experience
CA level degree or Accounting & Finance Degree or ACCA 2, ZICA 2
Experience & skills
- 3 years experience in a similar role in a dynamic fast paced organisation
- A sound knowledge of financial principles
- US funded , DFID and other donor funded experience an added advantage
- Demonstrated experience in reporting and analytics and providing meaningful insights
- Experience working on Financial systems (Pastel,Dove payroll, loan management systems etc)
