Job Title: Administrative Assistant/Driver

Department/Unit: Administration

Location: Lusaka, Zambia

Duration: Full-Time position

Reports to: Lead Administrative Assistant/Driver

Background: 

John Snow Health Zambia (JSH-Z) with support from USAID through the eSCMIS Project will continue assisting the Government of the Republic of Zambia in the rollout of a next-generation electronic supply chain management information system (eSCMIS). The eSCMIS Project aims to increase the use of health services, decrease disease burden and increase quality of life through ensuring appropriate quantities and quality of health commodities are available at health facilities to meet patient demands. Continuing the rollout of and provision of technical support to the existing eLMIS will enable a seamless transition from the activities being done under predecessor projects. Establishing public private partnerships to promote sustainability and eSCMIS transition to the government are key objectives in Zambia during this 5-year project plan. The eSCMIS Project will work closely with and in support of the Ministry of Health.

Position Description:

JSH-Z seeks a dynamic and highly experienced candidate for the position of Administrative Assistant/Driver to be based in Lusaka, Zambia. The Administrative Assistant/Driver will be responsible for driving, maintaining project vehicles and providing financial, programmatic and administrative clerical support. S/he will report to the Lead Administrative Assistant/Driver. The Administrative Assistant/Driver will report to the Lead Admin Assistant/Driver and help in achieving the project’s goals and objectives.

Roles and Responsibilities:

  • Drive and maintain project vehicles – (i.e. taking the vehicles in for maintenance and repair when needed), and ensuring safety of the vehicle and passengers.
  • Responsible for handling monies and documenting expenditures to support technical activities in the field including, processing of mobile money documentation, payment of participants, lodging and other arrangements.
  • Maintain vehicle cleanliness and ensure that servicing schedules and report any maintenance needs are done on a timely basis.
  • Ensure that vehicle mileage is indicated on the front of every fuel receipt and receipts should be submitted appropriately.
  • Maintain vehicle log book daily by noting date, destination, departure and arrival times and submit reports as requested by Lead AA.
  • Drive eSCMIS staff members and consultants to sites as needed and deliver documents to various locations as directed by project staff.
  • Provide administrative assistance support to the technical and administration teams vis-à-vis photocopying, scanning, faxing, front office duties and other tasks as directed by the Lead AA.
  • Provide off-hours transport support, including weekend pickup and drop-off of eSCMIS project and consultant staff as needed.
  • Support eSCMIS implementation team as needed on site.
  • Implement and adhere to JSH-Z’s personnel and fraud management policies.
  • Perform other duties as assigned by the Lead AA and other senior staff.

 Qualifications:

  • Valid SADC license with at least 5 years of experience driving and maintaining vehicles and log books.
  • Experience with basic financial clerical duties.
  • English speaking and writing skills.
  • Ability to take initiative and work in teams.
  • Interest in MIS programs and/or IT preferred.
  • Experience working with an NGO preferred.

Supervision and Reporting:

The Administrative Assistant/Driver will work under the guidance and supervision of the Lead Administrative Assistant/Driver.
