MAIN PURPOSE: To perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our Secretary for Business Administration, Secretary for Program and Financial Secretary, assisting in daily office needs and managing Departmental general administrative activities.
Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
RESPONSIBILITIES
- Organize and schedule appointments
- Plan meetings and take detailed minutes
- Plan and arrange seminars and conferences
- Write and distribute email, correspondence memos, letters, and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Update and maintain organizational policies and procedures
- Order office supplies and research new suppliers
- Maintain contact lists
- Make travel arrangements
- Submit and reconcile expense reports
- Provide general support to visitors
- Act as the point of contact for internal and external clients for the department
- Liaise with executive and senior administrative assistants to handle requests and queries from
- leaders
- Prepare requested reports and gathering data as requested from departments
- Staff Role in Netsuite
- Any other duties assigned by supervisor or leadership
PERSON SPECIFICATIONS
- Grade 12 Certificate
- Diploma or equivalent in Secretarial
- Diploma In Business Administration is an added advantage
- Minimum 3 years work experience
- Proficiency with computers and office equipment is mandatory.
- Excellent written and spoken Communication Skills
