Position: Finance Assistant

Contract: Full Time – 1 year renewable

Project: USAID Community-based Forest management Program (CFP)

Location: Mfuwe, Zambia

Reporting to: Senior Finance & Administration Officer

Background:

BCP is seeking a dynamic, talented, hard-working individual to serve as a Finance Assistance for REDD+ activities at the Mfuwe Site. This is a field-based position based in Mfuwe town. The individual in this role must have a passion for conservation and community engagement, and must be very comfortable with working in remote, rural, field-based locations.

MAIN RESPONSIBILITIES AND TASKS:

  • Assisting in the closing of monthly accounts and preparing financial statements for submission to the USAID
  • Assisting on the Financial Accounting System including managing cash flow, tracking expenditures and preparing monthly financial reports
  • Prepare Disbursement Vouchers for approval after a review of all the relevant supporting documents to ensure that all payments are adequately supported and posting in the Pastel system
  • Review and reconcile petty cash transaction before submission for approval of the reimbursement of the petty cash float.
  • Dealing with the sale of foreign exchange with the bank at the best rate for the organization.
  • Keeping up-to-date on documents/reports/guidelines/Audit Files in an appropriate manner.
  • Performing Inventory and Property Purchase Report monthly reconciliation
  • Ensures the travel expense reports are properly completed and outstanding cash advances for travel are reconciled
  • Keeps track of expenses against budget line items for all sub-contracts/grants and update the sub-contract tracking tool on a monthly basis for submission to the Senior Finance & Admin Officer
  • Conduct monthly petty cash spot checks
  • Participating in the project procurement process of goods and consulting services in assisting the procurement process in drafting requests, analyzing proposals, drafting contracts, negotiating contracts and prices and preparing the required documentation
  • File all disbursement vouchers chronologically after ensuring that all relevant documents have been attached and with the required approvals.
  • Issuing and reconciling of all stock in the BCP store room (BCP stores management)
  • Organize travel arrangements for staff members and implementing partners
  • Photocopying, Scanning and Printing to support BCP Finance needs
  • Assistance with the reconciliation of fuel and vehicle logbooks / records on a monthly or “as needed” basis
  • Any other tasks as assigned by the position’s Supervisor.

QUALIFICATIONS: (MINIMUM REQUIREMENTS) EDUCATION:

At least high school graduate, college education in preferable.

WORK EXPERIENCE:

Minimum of 4 years’ experience in an equivalent position with International organizations. Work experienced in USAID funded project is a plus.

SKILLS:

Able to communicate fluently effectively both verbally and in writing. Excellent interpersonal skills, including patience, diplomacy, willingness to listen and respect for colleagues. Must be capable of working both individually and as part of a team. Must also be able to create a supportive working relationship among all project teams. Compensation: A competitive salary will be offered.
