Main purpose of job
The British embassy is looking for a highly skilled individual, preferably with a hospitality or catering background and with the right personal qualities to manage a 5 star service within a busy Ambassador’s Residence. The successful candidate must be creative, numerate, computer literate and with excellent staff management skills. The individual must also be discreet, smartly presented, confident and able to interact with a diverse range of visitors and guests.
Roles and responsibilities
Administration
Proactively plans and ensures the residence daily operations are carried out to the highest standards; Tight budget management – reducing cost of running residence through focus on value for money and efficiency; Participates in supplier selection process to ensure value for money and consistently high standards of health and safety and delivery; Monitors standards of food hygiene and delivery, waiter service, selection of menus and drinks, purchasing and supervision of cleaning, laundry and other daily duties undertaken; Deals with telephone calls, email correspondence and managing workmen and visitors promptly and professionally; Maintains the Residence accounts, including responsibility for two imprests, as well as Ambassador’s personal expenditure and striving to see where cuts can be made without affecting service delivery; Liaises with the Embassy’s corporate services regarding regular maintenance, updating furnishings, ordering of equipment, monitoring health and safety practices; Maintains a network of contracts to provide outside catering, services, extra staff etc.
Human resources
Supervision of the residence team, drawing up duty rosters, managing workmen; Oversight of gardening team; Promote culture of continuous improvement and innovation – coordinates with the HR Manager for the recruitment, training and development of oneself and that of residence staff; Keeps record of residence staff leave and sickness absence, authorising overtime; Assists and train team in solving operational problems
Event management
Liaises with the Ambassador’s PA regarding forthcoming events or visitors to the residence; Makes suggestions for type and style of events to be held at the residence; Facilitates the efficient operation of a large range of functions; which includes delegating tasks to the team such as the catering, shopping, hiring of additional staff, flowers, menus, place setting and ensuring for official guests and visitors at the residence
Stock-keeping
Maintains accurate stock records, re-ordering as necessary; With the Chef, maintains records of meal and event costing; Maintains inventories of residence assets such as furniture, pictures, government art collection
Resources managed
Manage 4 staff and imprest of $2000.00

Other skills / experience / qualifications
Excellent command of spoken and written English, excellent people management skills, excellent teamwork, interpersonal and social skills, working experience at Foreign Missions will be considered an advantage
Desirable: Computer proficiency in Microsoft Office (e.g. Word, Excel, Power Point, Outlook and Valid driving licence.
