Job Title: Finance Assistant

Reporting to: Accountant

Principal Duties and Responsibilities

  • Receive and manage invoices from vendors to ensure timely payment by the project;
  • Prepare documentation for all payment transactions (except payment mobile phones, office telephone and electricity), including but not limited to vouchers, checks and transfer forms by ensuring that appropriate documentation and approvals are obtained;
  • Maintain the project’s accounting files system and make sure all vouchers are in order, completed properly and have bank slips/copy of checks attached;
  • Scanning all monthly Financial documents such as Payment vouchers, Liquidations, Receipt vouchers and Journal Vouchers, to make sure that all E-records are up to date;
  • Reporting and following up on any missing documents;
  • Review employee expense reports and code appropriately;
  • Assist Accountant to prepare payroll for all local Zambian staff;
  • Perform other finance related duties as needed and other duties as may be assigned;
  • Comply with all USAID, Chemonics, and PSM project policies and procedures;
  • Other duties as assigned.

Minimum Education Qualifications, Experience, and Competencies

  • Diploma or Equivalent in Finance, Accounting, Business Administration, or related field;
  • 2 years of demonstrated experience and success;
  • Demonstrated knowledge of USAID financial and management systems, regulations, and reporting requirements;
  • Excellent interpersonal and communications skills;
  • Demonstrated leadership, versatility, and integrity;
  • Fluency in English required.
