Job Title: Personal Assistant to the Managing Director
Responsibilities
- Organizing and maintaining diaries and making appointments
- Dealing with incoming email, faxes and posts, often corresponding on behalf of the MD
- Organizing and attending meetings and ensuring the MD is well prepared for meetings
- Communicating daily with the management team, planning work schedules and checking client requirements
- Manage and maintain the MD’s dairy and email account
- Organizing inbound emails into the appropriate folders and any relevant information to be copied into the correct file on the hard drive
- Ensure the MD is fully briefed on, or prepared for any engagements he is involved in
- Keep and maintain an accurate record of papers and electronic correspondence on behalf of the MD
- Minute general meetings as and when required and complete research on behalf of the MD
- Ensure guests meeting with the MD are well taken care of
- Provide a service that is in line with the MD’s work habits and preferences
- Maintain an adequate inventory of office supplies and monitor the use of supplies and equipment
Qualification
- Full grade 12 certificate
- Degree in Business Administration or a relevant field
- Four years experience
- Knowledge of Records Management
- Good communication and interpersonal skills
- Ability to handle multiple tasks
- Ability to use initiative and work with minimum supervision
- Excellent time management skills and organized approach
- Good computer literacy (MS Office, Excel, Power Point) and typing skills
