Executive Assistant: BioCarbon Partners Zambia
BioCarbon Partners (BCP) is an African-registered and headquartered REDD+ development and management social enterprise. BCP is implementing the Community-based Forest Management Program (CFP) funded by USAID/Zambia. The CFP award represents a significant addition to the BCP portfolio and budget and enables BCP as a company to expand its business. The CFP expansion, and future growth of the company requires world-class administration and USAID Compliance management experience.
Position: Executive Assistant
Contract: Full Time – 1 year renewable
Location: Lusaka
Reporting To: Managing Director
Scope of Work:
JOB SUMMARY:
The successful candidate is an intellectually curious and resourceful professional with excellent follow-through skills and the ability to anticipate the executive’s needs. She/he must also possess extraordinary organizational, computer and writing skills. A background or strong interest in real estate, urban planning, and the arts is a plus.
MAIN RESPONSIBILITIES AND TASKS:
- Coordinate meeting schedules involving CEO, his counterparts in related companies and key government officials.
- Assist in the development and handling of confidential documents, plans and correspondence.
- Review, edit and proofread project presentations.
- Assist with the development and maintenance of the project website.
- Ensure appropriate logistical support: secure meeting rooms and necessary equipment, prepare printed materials and video presentations, and arrange catering when necessary.
- Assist with BCP board communications and the editing of board minutes.
- Manage Foundation correspondence regarding requests and grants.
- Assist in Company management responsibilities:
- Help develop and maintain website for BCP.
- Manage Director’s/Chief of party’s calendar and correspondence.
- Arrange detailed travel itineraries (domestic and international) for the Managing Director/ Chief of party.
- Prepare, check and process expense reports.
DESIRED SKILLS AND EXPEREINCE:
- Work experienced in USAID funded project is a plus.
- BA or BS in relevant field.
- 2+ years working in a similar or complementary capacity.
- Highly proficient in all MS Office software. Excellent overall computer skills.
- Ability to think critically, work independently and take initiative in a fast-paced, deadline driven environment.
- Ability to respond quickly to changing priorities and anticipate new challenges.
- Proven skills in building effective working relationships and the ability to interact with top leaders in business, government and entertainment.
- Great sense of humor.
