Finance and Administration Officer x 1
Position Type: Fixed Term Contract
Reports to: Finance & Admin Manager
Location: Lusaka
Job Purpose
The role of the Finance and Administration Officer is to assist the Finance and Administration Manager in ensuring that the organization’s funds are managed properly, in accordance with internal financial practices, as well as donor requirements. The role also involves attending to administration activities such as cleaning and maintenance of the Country Office and surroundings.
Main Duties and Responsibilities
- Ensures that funds for field activities are paid promptly
- Prepare a weekly cash forecast
- Raise payments, receipts and journals ensuring they are adequately supported
- Real time posting of transactions into the pastel evolution accounting system
- Carry out Bank, ledger, debtors and creditors accounts reconciliations
- Ensure control accounts are cleared on a monthly basis
- Ensure staff advances are surrendered on time and well supported.
- Monitor budget implementation/expenditure
- Support in donor and institutional monthly report compilation
- Support in donor and institutional audit process
- Initiate and guide the procurement process of goods and services required by various departments/sections
- Maintain the organization’s asset register
- Process staff payroll and ensure all related statutories are remitted on time
- Ensure compliance with the NGO and government regulatory bodies.
- Maintain cordial working relationships with all third parties i.e bank, donors etc
- Assist in year-end closing activities.
- Attends to other administration and HR related activities
Minimum Required Qualifications
- Degree in Financial Management, Accounting, Business Administration, or any other related field
- Professional certification
- Three (3) years’ experience in a similar position
- NGO experience is an added advantage
Skills and Competencies
- Excellent communication and negotiation skills
- Demonstrated skills in writing, editing and reporting
- Ability to work under pressure
- Good knowledge of financial and administrative management
- Personal commitment, drive for results, efficiency and flexibility
- Proficiency in the use of MS Office and accounting software
- Able to capacity build and develop others
- Commitment to the organizational vision, mission and values
