Job Title: IT & Logistics Manager

Logistics related duties and responsibilities:

  • To manage the Lusaka stores, including overseeing receipt and dispatch of items and maintenance of all required documentation.
  • To arrange transportation of materials and supplies to other Concern offices.
  • To manage the procurement process and ensure that relevant policies and guidelines are complied with.
  • To ensure that relevant information and clarification is provided to the Purchase Committee in a timely manner.
  • To maintain all procurement files and ensure that regular updates are provided to all relevant departments and field offices.
  • To manage the fixed asset register in collaboration with the Finance Department for Lusaka and other field offices.
  • To prepare monthly procurement and logistics reports.

Asset disposal related duties and responsibilities:

In collaboration with the Asset Disposal Committee, the Logs & IT Manager will;

  • Manage and update Assets and Inventory Disposal Plans as necessary
  • Organize and oversee auctions and other processes for assets/inventory being sold.
  • In line with SMT instructions and Assets Disposal Plan, carry out donations of assets as per the instruction provided.
  • Organize and manage the effective and safe disposal of broken/damaged/worthless assets/inventory.
  • Liaise with internal and external stakeholders throughout as necessary and provide full documentation as needed for a full audit trail of all sales/donations/disposals of assets and inventory.

ICT related duties and responsibilities:

  • To ensure the ICT infrastructure for all Concern Worldwide Zambia offices and partners’ offices are functioning effectively and that network security is maintained.
  • To support Concern staff in use of Windows programs and Concern systems (learn 365, intranet) and other software.
  • To configure and install all ICT equipment as per the Dublin IT standards and guidelines
  • To ensure the use of CWW compliance software application on all Concern computers
  • To ensure the security and safety of IT equipment
  • To ensure the security of wireless access keys and administrative passwords
  • To perform routine preventive maintenance works on servers and other IT equipment.
  • To respond to ICT  issues and challenges (networking, server, printing, the internet,/e-mail, phone systems, etc) and take appropriate corrective action
  • Ensure that relevant issues or problems are escalated/ raised to Dublin Helpdesk in a timely manner
  • To liaise with the ISP for any matters concerning the internet links at any Concern offices.
  • To maintain a tracking system for all ICT repairs and maintenance issues
