Working in Zambia since 1996, Plan International Zambia’s development and capacity building programmes focus primarily on Education, Health, Water and Sanitation, Economic Security and Youth Empowerment, including Child Protection and Participation. Plan International Zambia has Programme Areas in; Central, Luapula, and Eastern Provinces including in Lusaka, where the Country Office is located.

Grants Finance Officer- Lusaka
Position Description
The Grants Finance Officer’s main role is to ensure all grant related financial records including cost recoveries are up to date and provide all necessary financial information for all grant funded projects in the organisation. Consolidation of all accounting and treasury information from the Program Areas and country office departments, where relevant, for the grant related funds can prove to be a challenge.
Key areas of responsibility include:
1. Provide effective financial and accounting support to CO and PAs in project Development implementation, monitoring and evaluation on all Grant funded Projects
- Reviewing cost recovery budgets in all Project Outlines (POs) and ensure that both direct shared and overhead costs relating to Grants are timely recovered or charged
- Timely Posting of Grants related Journals in SAP on monthly basis
- Coordinate submission of time sheets for grant funded projects ensuring proper completion and charging to projects.
2. Budget Management
- Prepare quarterly consolidated Country Grant Budgets and upload forecasted budget in SAP
- Participate in the annual Budget preparation, coordinate preparation of Apportioned and PA office running costs budget
3. Financial monitoring and reporting
- Perform detailed analytical review of Grants budget and Expenditure by effectively using SAP and coordinate variance explanation.
- In charge of timely preparation of quality Donor reports and submitted for review and sign off on monthly basis. Provide Timely feedback to National Offices/Donors on all Financial Report queries
Qualifications:
- Accounting Degree
- ACCA/CIMA added advantage
- 3 – 5 years’ experience in Grants Management role and preferably in an NGO environment
- Well versed in computerized accounting applications
- Knowledge of the Grant funding rules and regulations
