JOB INTRODUCTION:

  • To assist as required in the preparation of annual Administration reviews and in the implementation of changes in salaries and other terms of services.
  • To ensure that laid down requirements and procedures are followed in the appointment of temporary and permanent employees
  • To ensure that payroll change notice forms are accurately completed and submitted on time and in consultation with Finance Department ensure that final dues are worked out accurately and paid out to the terminated employees.
  • To ensure that the retirement plan is adequately managed and all employees are duly and correctly paid at retirement. To update and maintain clear records of all retirements and other forms of separation. To process any redundancies according to the legal provision
  • To prepare and administer leave rosters for all non-unionised staff and manage the leave database for all employees in the region.  Ensure that the leave database for both unionized and non-unionised employees is updated.  Provide the monthly leave status report.
  • To maintain up-to-date regional and departmental organization charts. To maintain and regularly update the electronic establishment register and other HR manual registers (Employee appointments, Leave, promotions/confirmation, Sickness, accidents, and injuries on duty, etc).
  • To compile and submit all statistical returns to the relevant authorities and other organizations where these apply for all grades of staff.
  • To conduct ad hoc HR systems audits in order to enforce adherence to HR Policies and Procedures.
  • To administer staff benefits such as medical scheme and sports activities.
  • To coordinate all regional performance appraisals for non-unionised personnel.
  • Maintain an up-to-date record of all matters arising from performance appraisals and their required post-appraisal interventions. To coordinate the performance management system through key performance indicator (KPI) approach
  • To ensure that disciplinary procedure guidelines are issued and updated from time to time. To monitor the disciplinary procedure to ensure that it is followed according to the law and the G4S Disciplinary Code. To receive all notices of suspensions and ensure that full reports of investigations are received within the required time. To obtain recommendations of relevant Head of department and consult and discuss the correct disciplinary action to be taken and then advise the final decision to be taken.
  • To ensure that the dispute procedure is well understood by all especially first level managers, and issue guidelines from time to time. To receive all dispute notification from shop stewards, union officials, Operations managers, labour officials. To deal with correspondence on trade disputes and liaise with the Ministry of Labour, the union and other labour agencies as required.
  • To ensure that establishment vs actual manpower levels are regulated and within approved variances. To ensure that all manpower statistical reports are up-to-date and duly submitted. To oversee and regulate HR/manpower information system i.e. EasyRoster, VIP, Time & Attendance. To regularly reconcile the shifts billed vs shifts worked reports
  • To attend interviews and promotion boards as Secretary when required. To undertake the computerization of the Personnel records for both unionized and non-unionised employees. To process medical claims for all Management staff and maintain updated records on state of medical expenditure. To undertake any other duties given to in line with your function by the Human Resources Director, Operations Director or any other member of the executive.

THE IDEAL CANDIDATE:

Ideal candidate must:

  • Have a minimum of Bachelors’ Degree in Human Resources Management or equivalent from a reputable Institution of Learning
  • Have a minimum of 8 years (3 of which should be in management) practical experience in Human Resources Management as a generalist.
  • Have great appreciation of the Zambian Labour Laws
  • Be calm, patient and assertive, with excellent negotiation, communication and interpersonal skills. They should also have strong analytical, problem-solving and organisational skills.
  • Be a paid-up member of the Zambia Institute of Human Resource Management.
