Human Resources Officer Job: Jumbo Zambia
Purpose of the job:
Provide HR services, support and guidance which enables the achievement of core business goals and contributes to productivity and improvement within Masscash. Providing administrative support for HR, payroll & employee benefits to the HRBP’s, Regional Hub and stores by resolving HR related queries, capturing reports, completing new starter forms and sending them to Payroll and NSO, leave administration and sending leave captured to Payroll.
Job specifications/responsibilities will include the following:
HR Business Partner
- Provide line managers with advice on regulatory and legislative requirements to enable legal compliance.
- Work with Line Managers to support performance Management and IR etc.
- Provide support in implementing the talent strategy and support Line Managers managing and retaining talent.
- Build and maintain effective relationships with Line Managers to create buy-in for HR procedures.
- Build and maintain good consultative relationships with Masscash Centre’s of Excellence (L&D, Talent etc.).
Communication and Employee Relations
- Build and maintain healthy and effective relationships with the workforce and/ Union.
- Ensure compliance of HR Practices in line with labor legislation; BBBEE targets and policies.
- Drive The Masscash Way and ensure a robust change champion network is in place.
- Ensure all IR info captured in the HR system (example VIP)
- Ensure policy adherence and enforcement.
- Assist with BUA survey implementation and review results to ascertain general feeling among staff and trends; define action plans and ensure implementation thereof.
- Ensure detailed minutes are kept and communicated to Senior HRBP.
- Ensure communication of the BUA results and action plans are implemented.
- Assist with change management with key business roll-outs.
- Action plans and updates to be captured on the BUA system.
- Manage investigations, disciplinary and grievance matters in conjunction with the HRBP and Senior Manager ER.
- Provide advice and guidance on individual employee relations cases, ensuring that these are well managed and meet the requirements of the company’s policies, best practice and employment legislation.
- Provide advice and guidance on the HR policies and procedures to ensure effective, fair and consistent management of staff in areas of responsibility.
- Ensure that managers and staff are aware of the policies and procedures and able to implement them effectively.
- Provide support to staff on HR issues, as and when required.
- Serve as a link between management and employees by handling questions, interpreting and administering contracts and helping resolve work-related problems.
HR Administration and Reporting
Administration:
- Ensure that all relevant HR administrative data is captured accurately.
- Ensure accuracy and completeness of HR Datastor scanned files.
- Respond to all HR related queries; identify problems and come up with solutions and implement with Line Manager where applicable.
- Resolve any payroll queries that may arise
- Complete ad hoc administration for all employees; update personal details, Change in Status; etc.
- Assist with proof check payroll input
- Approve Overtime payment on SharePoint
- Ensure monthly processing into Payroll – leave; deductions, allowance, overtime, expenses; new starters and terminations; ensure documentation is sent to Payroll and Employee Benefits
- Check interim costing report to ensure correctness of data submission
- Generate and manage Employee files and records
- Manage leave input, reports, validation and queries
- Audit the quality of HR administrative data in the HR system.
- Ensure all HR transactions and processes are conducted timeously and accurately (example: payroll input and bonus schedules)
Reporting:
- Run Master data reports and ensure that demographic data is kept up to date on VIP systems
- Pull the monthly reports as required within deadline
- Report unresolved queries to the immediate supervisor
- Monthly labor turn over report (terminations per month)
- Monthly IOD’s (injuries on duty) reports
- Monthly reporting on Casual labor spend and hours
Performance Management
- Communicate and Coordinate performance management process.
- Ensure individual performance objectives are in place and reviewed to meet organizational and individual needs
- Ensure bi-annual performance ratings are captured and submitted to Talent management
- Support Line Managers with any poor performance improvement plans.
Requirements:
- Minimum Grade 12 essential
- Bachelor’s Degree or National Diploma in Human Resources.
- 3 Years HR Experience preferably in a retail and wholesale/ FMCG environment
- VIP experience is an advantage
- With sound experience and/ or exposure to:
- Employee Relations
- HR Business Partnering
- Key Labor legislation
