Title: PERSONAL ASSISTANT TO THE HEAD OF SCHOOL

  • Reports To: HEAD OF SCHOOL

Qualifications:

  • The successful candidate is likely to be to at least ‘O’ level, particularly in English.
  • Diploma in Secretarial or at least a bachelor’s degree

Skills & knowledge

  • Effective written and verbal communication skills – ability to compose letters with fluency
  • Ability to work on own initiative, be decisive and to work as a member of a collaborative team
  • Excellent organizational and planning skills
  • Ability to approach all confidential matters with discretion, sensitivity, and diplomacy
  • Knowledge and experience of whole school procedures, organization, and structure
  • Trustworthy, hardworking, intelligent
  • Faultless written English

Performance Responsibilities

  • To provide secretarial and organizational support to the Head of School in support of his/her role.

Main Functions

  • Act as the first point of contact within the school for staff, governors, councilors, parents, and others seeking with the Head of School.
  • To assist the Head of School in organizing his/her administrative workload recommending items to be dealt with in order of priority. To ensure that the Head of School responds to particular approaches within timescales identified in any agreed priority action list.
  • Maintain the diary for the Head of School, arranging appointments as appropriate, and ensure that s/he is adequately briefed on matters to be discussed.
  • To assemble and prepare papers required by the head of School to attend meetings, prepare reports, or reply to requests for information.
  • After discussion, to draft, as appropriate, outgoing correspondence and school documents that are the direct responsibility of the Head of School
  • To handle all confidential correspondence with discretion
  • To arrange meetings when required.
  • To support the head of School and other senior managers in the organization and planning of special events.
  • To maintain the Head of School’s filing system
  • To undertake such other reasonable duties as may require within the school.
