POSITION: Clinic Manager – (1)
PURPOSE OF ROLE
At MBHS, the clinic/Hospital Manager is responsible for the overall and day-to-day management of the clinic, its staff and its operations. He/she is responsible for delivering:
- High standard of patient care;
- Effective financial management and business activities;
- Effective management of resources (staff, assets and equipment)
- Quality improvement
- Productivity management (improve economies of scale)
KEY RESPONSIBILITIES
- Assist in the defining and delivery of new and existing MBHS services and products.
- Direct the functionality and operations of the emergency, inpatient, outpatient, theatre, maternity, diagnostic (laboratory and radiology) and allied health services (including pharmacy, dentistry, OH, physiotherapy, MCH etc.) by:
- Evaluating the efficiency, productivity and effectiveness of each service;
- Directing the training of clinical staff;
- Setting, delivering and evaluating the standard of patient care to ensure quality services;
- Approval of on-call rosters and staff to patient ratios;
- Pre-approval of overtime
- Ensuring that patients are billed accurately for services.
- Develop and maintain MBHS standards of clinical practice for medicine, midwifery, nursing and allied health professionals in collaboration with the Quality Department.
- Ensure that patient confidentiality is continually maintained. All staff must be aware of the MBHS policies and adhere to these standards.
- Interact with other medical facilities, third party providers, and educational institutions in relation to clinic activity, patient referrals and staff development. Represent MBHS in a professional manner.
- Oversee the routine maintenance and calibration of medical/diagnostic equipment so that all equipment is in good working condition.
- Create and maintain an asset register and ensure this is up-to-date at all times
- Oversee the process of petty cash management and ensure banking of cash is recorded and controlled and balances to receipts.
- Oversee the processes involved with clinic stock to ensure it is properly inventoried, managed and stored in a secure location. Clinic orders are sent to the supply chain department in a timely manner and there is proper accountability of all stock ordered, received and used.
- Direct the clinic’s protocol for emergency preparedness, planning and recovery in the case of a major disaster (i.e. contiguous disease outbreak, hostage situation, fire explosion etc.).
- Report any clinic emergencies to the General Manager and Medical Director immediately.
- Report anything to the General Manager that may result in patient/client complaint. Ensure that the General Manager is well informed of daily progress of the medical facility.
- Ensure all staff are well trained on the clinic’s protocol for emergency preparedness, planning and recovery in case of a major disaster.
- Work closely with the Chief Medical Officer (CMO) to ensure that medical services efficiently functions to productive capacity.
- Through observation, ensure all staff demonstrate good customer service and are respectful, courteous, confidential and caring towards patients, relatives and visitors.
- Monitor and manage performance of the business in line with budget requirements and cost management.
Qualifications, Experience & Skills required
- Bachelor’s degree (or similar) in health administration/management and must have a clinical qualification (i.e. RN, RM etc.).
- A minimum of 5 years’ experience in clinical environment within a management role and/or multi unit management in a medium/large medical facility.
- Must have good administrative skills with a strong management sense.
- Able to demonstrate initiative and a pro-active approach to problem solving.
- Ability to work independently, pay careful attention to detail and manage multiple tasks in a fast-paced environment.
- Able to delegate tasks efficiently.
- Computer literate in Microsoft ‘Word’ and Microsoft ‘Excel’.
