The Centre for International Health, Education, and Biosecurity (CIHEB) of the University of Maryland Baltimore (UMB), together with the Centre for Infectious Disease Research in Zambia (CIDRZ), are implementing a Community Impact to Reach Key & Underserved Individuals for Treatment & Support (CIRKUITS) Project. The CIRKUITS project has partnered with the Government of the Republic of Zambia and Community Based Civil Society to implement community-based combination HIV prevention interventions, to ensure all people living with HIV (PLHIV) know their status, HIV positive people are connected to treatment and achieve viral suppression so that Zambia achieves HIV epidemic control.

Position: Finance and Administration Assistant
Location: Eastern Province-Chipata

Job Description

Under the supervision of the Nurse Clinical Educator, the Finance and Administration Assistant (FAA) will manage the day to day finance and administration operations of the Hub Office and will perform the following duties:

Finance:

  • Maintaining the cash float of the hub operational funds
  • Act as the organization’s known Bank agent
  • Ensure that all staff advances are liquidated and sent to Lusaka timely (after each trip, meeting or training)
  • Pay meeting and/ training participants their allowances

Human Resources and Administration:

  • Supervise the Drivers and Office Assistant/Cleaner
  • Ensure that local staff time sheets are sent to Lusaka timely (after approvals by supervisors)
  • Ensure that all leave forms approved are sent to HR Manager – Lusaka
  • Office Management (lease, security, cleaning services, utilities)

Logistics:

  • Ensure motor vehicles above 5,000 KM and those needing repairs are serviced timely
  • Prepare the monthly fuel reports

Procurement:

  • Assist in the procurement of local goods and services for the Hub Office and raising requisitions for payment
  • Ensure the vendors used are on the approved vendors list
  • Conduct Lexus searches for all vendors for every transaction
  • Ensure that all vendor invoices and receipts ae collected and sent to Lusaka
  • Manage the inventory/stores at the Hub Office
  • Ensure that a goods received note is signed upon receipt of goods at the Hub Office or the facilities

Qualifications:

  • Grade 12 School Certificate
  • Diploma in Accounting and Finance
  • Minimum of (3) years work experience in Finance and Administration
  • Living in the district where the project will be implemented
  • Computer literate in Excel and Word
