Zambia Association of Sisterhoods (ZAS) is a Catholic Women Religious (Sisters) Association made up of forty-five (45) member Congregations. It was founded in 1958. It is the Association of all women religious Congregations present in Zambia. Membership is drawn from both local and international Congregations. It was formed with the so purpose of coordinating and supporting the different activities and programs of sisters that meet their diverse needs. It has eleven branches spreads throughout the country as well as working committees such as the Prayer Companion, Justice and Peace and Integrity of Creation and Mentors and Facilitators and Formation. It also runs projects such as Strengthening the Capacity of Religious in Early Childhood Development (SCORE-ECD), Catholic Care for Children in Zambia (CCCZ), and African Sisters Education Collaboration (ASEC). It also runs Kalundu Study Centre an International Institute that offers Formation and Leadership course to Catholic sisters in Zambia and the African region.ZAS is inviting applications from qualified and committed Catholic faithful for the position of:
1. The Monitoring and Evaluating Officer with a strong background in Information Technology to maintain accurate information in project database as well as creation of a sound M&E System for the Association.

Job Description Summary
The Officer will perform a variety of complex information technology support duties to ensure smooth delivery of the association by managing database, monitoring, operating and assisting staff in the operation of computer hardware, software to achieve the required results. S/he shall be in charge of the Monitoring and Evaluation activities of the association programs and projects. The Officer Shall ensure effective quality assurance and the overall integrity of the projects focusing inwardly on the internal consistency of the projects, and outwardly on its coherence with planning, interfaces with other programs and corporate, technical and specialist standards.
General Duties
Information Technology
- Create data base software of ZAS (congregation/branches/programs/projects/committees).
- Review and evaluate existing and update ZAS website designs and look for ways to improve them.
- Design programs identities to match the needs of the Association and frequently update it.
- Installs, maintains and services, troubleshoots and repairs cabled, computers and other network infrastructure.
- Manage the computer lab (installation of new servers and support existing servers access rights for all users). Handles the transfer of computer equipment files between platforms as a result of office or personnel changes.
- Monitors network to ensure network functionality and availability to all system users.
- Maintain inventory of software and apparatus and accessories available and proactively schedules software upgrades and patching.
- Train and/or orient staff and students in basic information technology whenever need arises.
- To ensure ZAS has a strong backup system
Monitoring and Evaluation
- The M&E Officer will provide technical support to the design and implementation of monitoring systems, evaluation tools and formats for specific project and other data systems that support policy and programmatic decision-making by ZAS and its stakeholders.
- The Officer shall provide support to projects in the implementation and tracking of monitoring and evaluation plans. Responsible for the development, measurement, and reporting of qualitative and quantitative output, outcome, and objective level performance indicators.
- Conduct baseline surveys, mid-term monitoring and evaluation of projects and facilitate programs learning and sharing, encouraging inclusive and effective dialogue and reviewing of reports in collaboration with program/project staff/committees/branches.
- Provide guidance and feedback to ensure quality reporting by all programs and that all reports to meet organizational and donor reporting requirements timely.
- Ensuring effective quality assurance and the overall integrity of the projects focusing inwardly on the internal consistency of the projects, and outwardly on its coherence with planning, interfaces with other programs and corporate, technical and specialist standards.
- Monitoring data collection, collation, storage, analysis and reporting ensuring that data is of high quality and audit worthy. Documents and shares best practice, behaviour change, success stories and lessons learnt through the annual newsletter and other platforms
- Coordinates regular program monitoring visits to project sites/branches and ensures the production of consolidated reports and agreed action plan for follow up response as needed. Proactively raises concerns/attention about potential opportunities & challenges to allow ‘course correction’ throughout life of the projects/programs.
Skills and attributes
- The person with the skills to identify or define and develop the projects, plan, implement, monitor and evaluate are of paramount for this position. The officer should have the capacity to ensure the delivery of services and results from projects to the appropriate level of quality, timely and within budget, in accordance with the projects plans and governance arrangements.
Competencies:
- Good knowledge of data analysis software (preferably Ms Excel, SPSS or STATA)
- Excellent knowledge of project planning, monitoring and evaluation techniques
- Excellent organisational skills and an acute attention to details.
- Excellent communication and interpersonal as well as writing and editing skills
- Robust understanding of developing monitoring and evaluation tools.
- Must be able to work with and among a multicultural environment
- Must be able to plan and undertake an M&E field trip and write a trip report
- Must be able to work with team and should be self-motivated
- Must be a practicing Catholic faithful
Education and Experiences
- Diploma in computer science, MIS, CIS or related field, or equivalent professional experience. A degree in any of the above is an added advantage.
- At least three (3) years’ work experience in Monitoring and Evaluation management and in the remote communities/places in Zambia and fluent in most spoken local languages.
- Age 30 years and above.
