Purpose:

The purpose of this role is to ensure proper accounting of transactions in the Copperbelt region and ensure internal controls are adhered to and strengthened. Further, the position will ensure payments in the Copperbelt region are done in accordance with the finance policy and proper records are maintained and providing general oversight of finance aspects. The accountant will also monitor project spending against budgets, monitor expenditures and ensure policies are cascaded to the field teams for compliance.

Key Responsibilities

1. Petty Cash Management

  • In charge of teams petty cash and ensure that cash counts are recorded for all teams on a monthly basis.
  • Conduct petty cash counts and alert management of any discrepancies.
  • Reconciled float against paid vouchers
  • Prepare reimbursement request when float reaches reimbursement level
  • Review returns and process reimbursement claim

2. Posting of accounting documents and payments

  • Posting of invoices, field expense retirements and payments into SUN Q&A in a timely basis.
  • Posting of Q&A spreadsheets of all team monthly statistics after verification by the Assistant MIS Officer and M&E Manager.
  • Process approved advance requests as per policy and book them into SUN.
  • Book approved surrenders and update staff accounts in SUN
  • Follow up on outstanding issues for resolution and communicate to HR on any recoveries needed from staff accounts.
  • Posting of monthly stock movements after verification by the Coordinator.
  • Posting of fuel consumption into SUN after verification by the Coordinator. The Accountant shall ensure that MSZ has proper fuel management practices and accounting.

3. Bank reconciliation

  • Prepare monthly bank reconciliation statements and ensure approval by the 7th working day.
  • Follow up and resolve outstanding amounts on the bank reconciliation statement before the following month end.

4. Any other duties assigned

  • Overall responsibility for filing and archiving of documents
  • Prepare accounts reconciliations as per assignment by the line manager.
  • Orients and guides team members and other staff on laid down procedures and guidelines of financial management for MSZ funds.
  • Monitors team and regional expenditure against monthly cash requests.
  • Ensures that all team assets are accounted for and are properly tagged for onward review by LSO.
  • Advises HR on staff debts to be deducted from affected staff members on a monthly basis.

Qualifications

  • Bachelors Degree in Accounting or related fields from a recognized institution of higher learning or CPA I
  • The Candidate should have experience working with any Accounting system (working knowledge of QuickBooks and SUN will be an added advantage).
  • Minimum two year’s work experience in accounting either in private sector or NGO
