Office Assistant

Purpose of the Job

To organize and coordinate administrative duties and office procedures, create and maintain a pleasant work environment, by ensuring high levels of organizational effectiveness, communication and safety. Candidate must be able to work independently with little or no supervision. Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.

Roles and Responsibilities

  • Serve as the point person for Office Assistant duties including; maintenance, mailing, office supplies management, equipment monitoring & maintenance.
  • Be able to receive bills and submit to finance, running errands
  • Be able to schedule meetings and appointments
  • To organize the office layout and order stationery and equipment
  • Capable of maintaining the office condition and arrange necessary repairs
  • Candidate should be able to organize office operations and procedures, coordinate with the responsible department on all office equipment.
  • Assist to manage contract and price negotiations with office vendors, service providers and office lease, liaise with facility management vendors, including cleaning, catering and security services
  • Assist in the onboarding process for new hires
  • Address employees’ queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
  • Plan in-house or off-site activities, like parties, celebrations and conferences

Essential Skills

  • Effective communication at all levels with a strong customer focus
  • Proficiency in MS Office (MS Excel, MS Word and PowerPoint, in particular)
  • Hands on experience with office machines (e.g. binding machines and printers/copiers)
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
  • Proven experience as an Office Assistant Front office officer or Administrative assistant

Qualification & Experience:

  • Grade 12 School Certificate with credits in English and Mathematics
  • Minimum Diploma in business
  • Experience in office management is essential
