Advertisement – Accounts Officer

People’s Action Forum (PAF) is a non-governmental organization working in seven districts of Central, Eastern and Southern Provinces of Zambia in the field of education and community development.

Job Title: Accounts Officer –(1 Position)

Location: Chipata, Eastern Province

Reporting Line: To Programme Accountant, Head Office

Role Purpose: The Accounts Officer will support implementation and monitoring of PAF programme implementation in the Eastern Province and be responsible for reporting and maintenance of the Chipata Office finances.

Key Areas of Responsibility:

Cash Management

  • Timely and accurate preparation of cash and cheque payments on the approved payment vouchers, where required.
  • Careful and efficient handling of petty cash and cash instruments at the Chipata Office
  • Maintain, keep, and reconcile cash in hand on daily basis with the cash books
  • Ensuring efficient and effective operation of the bank accounts
  • Review all expenditures for supporting documentation, receipts for accuracy, completeness and correctness of codes before submission of payment vouchers to Head Office.
  • Receiving retirements from staff and other third parties and timely depositing of cash receipts.

Bank Management

  • Collect bank statements from the bank on regular basis and sequentially file them.
  • Represent PAF as a banking agent and ensure proper recording of cash withdrawn from the bank.
  • Keep track of funds available in field office to ensure smooth cash flow for programme operations.

Finance & Non-Finance Document Management

  • Contribute towards preparation of financial reports and statements for project audits
  • Communication with suppliers to respond to their queries and reconcile their accounts.
  • Proper and chronological filing of transaction vouchers and supporting documents for ease of storage and retrieval.

Administration & Logistics:

  • Responsible to pay office rentals, utilities, communication and other bills on time.
  • Ensure staff daily timesheet is signed
  • Provide necessary information to Head Office for payroll input.
  • Ensure that all purchase requests for goods and services are processed in a timely manner
  • Ensure that office has adequate office requisites
  • Ensure all office assets and goods are regularly updated in the inventory management and that items are in good working order
  • Ensure that all assets such as vehicles are in good running order, and office premises are well maintained and fully functional.
  • Any other duties as assigned by the Programme Accountant.

Experience and Qualifications

  • Minimum of Diploma in accounting or business administration
  • At least 2 years’ experience in accounting field, preferably with an NGO.
  • Highly proactive, ability to work independently with minimal supervision
  • Good interpersonal and communication skills
  • Strong team playing skills
  • Good computer skills in Microsoft Word and Excel
  • Good accounting and finance management skills with knowledge of computer accounting packages and understanding of basic accounting concepts.
  • Self-motivated, flexible with demonstrated ability to meet set deadlines and high good integrity
