PCI began operations in Zambia in 1996 and has a strong reputation in country for its integrated, HIV/AIDS programming and for working with especially vulnerable communities including the military and children living on the streets. PCI is seeking qualified candidates for the position of Administrative Assistant.

 

Job Summary:

The Administrative Assistant is responsible for day to day logistics support, working in liaison with Procurement, Finance, Transport and communication, stores and administration. Works cooperatively with all team members to support the achievement of work plan activities designed to achieve identified goals and objectives.

Key Responsibilities:

  • Provides day to day administrative support, including maintaining the meeting calendars for staff.
  • Responsible for taking and distributing the minutes at all staff meetings and administration meetings
  • Maintain a proper and user-friendly filing and document control system for recording and tracking of all documents and parcels
  • Booking of venues for trainings/workshops including the solicitation of bids and their analysis to guide in decision making;
  • Assist with travel arrangements for staff s and support the officers and the daily administrative roles
  • Prepare Purchase Orders, Check Requests including detailed coding spreadsheets when required and update accrual reports
  • Track vendor payment and follow up as necessary and raise VAT exemption orders requests
  • Maintains vendor and administration relationships and general files
  • Maintain and update the asset register, tracking asset movements and updating individual staff asset records;

Desirable Qualifications:

  • Degree/Diploma in Business Administration or related field, with not less than three years’ experience in a similar position
  • Work experience in a similar position, experience with donor funded organization an added advantage
  • Proficient in Microsoft Office software (Word, Excel and PowerPoint) and Microsoft Outlook
  • Strong communication skills (written and oral); customer service skills
  • Ability to communicate effectively and professionally and  with cross-cultural sensitivity
  • Ability to take initiative and ownership and follow-through on all tasks
  • Ability to take on a wide variety of tasks and handle multiple-tasks; forward thinking
  • Ability to work congenially with volunteers, employees, management, and vendors
  • Pleasant, professional and approachable  mannerism
