Office/Administrative Assistant: A Local Chemical Company
Our company has been set up to fight malaria. We are currently the head distributors in southern Africa of an innovative mosquito insecticide. This insecticide is made of paper and can easily be used at home or for traveling. It is highly effective and efficient in killing mosquitoes.
Malaria causes more than three hundred million acute illnesses and kills at least one million people every year. Ninety per cent of deaths due to malaria occur in Africa, south of the Sahara, and most deaths occur in children under the age of five.
In that regard, we are dedicated to fighting Malaria and aim to reduce the sickness’.
Our company is looking for an Office/Administrative Assistant to be responsible for handling clerical tasks in our office. You will be handling incoming phone calls and other communications, greeting clients and visitors, as well as managing files, updating paperwork and other documents, and performing other general office clerk duties and errands.
In order for you to be selected as a candidate, you will need the ability to write clearly and be proficient with word and Excel applications. A pleasing personality with strong communication skills is also highly valued.
Office/Administrative Assistant Responsibilities:
- Handling incoming calls and other communications.
- Managing filing system.
- Recording information as needed.
- Greeting clients and visitors as needed.
- Updating paperwork, maintaining documents and word/Excel processing.
- Helping organize and maintain office common areas.
- Performing general office clerk duties and errands.
- Coordinating events as necessary.
- Maintaining supply/Customer inventory.
- Maintaining office equipment as needed.
- Aiding with client reception as needed.
- Creating, maintaining, and entering information into databases.
- Office Assistant Requirements:
High school diploma or associate’s degree.
Experience as an office assistant or in related field.
Ability to write clearly and help with word processing when necessary.
Warm personality with strong communication skills.
Ability to work well under limited supervision.
Great communication skills.
Responsibilities
- Organize office and assist associates in ways that optimize procedures
- Sort and distribute communications in a timely manner
- Create and update records ensuring accuracy and validity of information
- Monitor level of supplies and handle shortages
- Resolve office-related malfunctions and respond to requests or issues
- Maintain trusting relationships with suppliers, customers and colleagues
- Perform receptionist duties when needed
