We are seeking an Executive Assistant to support the Production Director in using his time as effectively as possible by undertaking a wide range of administrative and organizational tasks as well as miscellaneous projects on his behalf.

Executive Assistant Responsibilities

  • Electronic and hard copy correspondence management
  • Diary and Schedule Management
  • Undertake secretarial duties such as answering and screening phone calls, taking messages and attending to visitor hospitality for the Production Director
  • Meeting coordination: agenda preparation, room set up, minute taking and distribution of meeting minutes
  • Make travel arrangements, including flight bookings, transportation, and organize lodging for Directors, investors and business visitors
  • Maintain an electronic filing system, ensuring processes and software are up to date and in good working order
  • Manage projects and follow-up with team members where required
  • Maintain a strong working relationship with relevant departments and teams
  • Offer general support to Production Director & Executive Members as and when required

Skills and Qualifications

  • Bachelor’s Degree in Business Administration or related (preferred)
  • Corporate background/work experience in a professional setting
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Highly organized and detail-oriented (values doing things properly)
  • Strong communicator (verbal and written), including professional written communication
  • Resourceful, persistent, problem-solver
  • Independent worker with personal initiative, able to work with minimum supervision
  • Flexible hours when required
  • Can-do attitude and professional presentation
  • Willing to live and work in Siavonga
