ORYX Oil Zambia Ltd is Currently Recruiting: Admin Assistant


PURPOSE OF THE ROLE:

To provide a point of contact for Oryx Oil Zambia Limited and act as a focal point of communication between clients and other members of the OOZL management team and other key stakeholders.

CONTRACT DURATION: NOT MORE THAN SIX MONTHS (FIVE MONTHS)

KEY RESPONSIBILITIES

  • answer, screen and transfer inbound phone calls and direct visitors and clients
  • general clerical duties including photocopying, fax and mailing and maintain an electronic and hard copy filing system
  • retrieve documents from filing system and handle requests for information and data
  • resolve administrative problems, inquiries and prepare written responses to routine inquiries
  • prepare and modify documents including correspondence, reports, drafts, memos, and emails
  • schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors
  • prepare agendas for meetings and prepare schedules
  • record, compile, transcribe and distribute minutes of meetings
  • maintain office supply inventories and coordinate maintenance of office equipment
  • coordinate and maintain records for staff, telephones, parking and (petty cash Sometimes)
  • Prepare purchase orders and send copies to suppliers and to departments originating requests.
  • Determine if inventory quantities are sufficient for needs, ordering more materials when necessary.
  • Respond to customer and supplier inquiries about order status, changes, or cancellations.
  • Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.
  • Prepare, maintain, and review purchasing files, reports and price lists.
  • Check shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications.
  • Determines requirements by working with customers.

REQUIRED TECHNICAL SKILLS, TRAINING & EXPERIENCE

  • At least 1-2 years of professional experience
  • Certificate in Business Administration or any related field. Diploma will be an added advantage
  • Must be honest
  • Hard worker and a team player
  • Computer literate
  • Able to work under pressure
