ORYX Oil Zambia Ltd is Currently Recruiting: Admin Assistant
PURPOSE OF THE ROLE:
To provide a point of contact for Oryx Oil Zambia Limited and act as a focal point of communication between clients and other members of the OOZL management team and other key stakeholders.
CONTRACT DURATION: NOT MORE THAN SIX MONTHS (FIVE MONTHS)
KEY RESPONSIBILITIES
- answer, screen and transfer inbound phone calls and direct visitors and clients
- general clerical duties including photocopying, fax and mailing and maintain an electronic and hard copy filing system
- retrieve documents from filing system and handle requests for information and data
- resolve administrative problems, inquiries and prepare written responses to routine inquiries
- prepare and modify documents including correspondence, reports, drafts, memos, and emails
- schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors
- prepare agendas for meetings and prepare schedules
- record, compile, transcribe and distribute minutes of meetings
- maintain office supply inventories and coordinate maintenance of office equipment
- coordinate and maintain records for staff, telephones, parking and (petty cash Sometimes)
- Prepare purchase orders and send copies to suppliers and to departments originating requests.
- Determine if inventory quantities are sufficient for needs, ordering more materials when necessary.
- Respond to customer and supplier inquiries about order status, changes, or cancellations.
- Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.
- Prepare, maintain, and review purchasing files, reports and price lists.
- Check shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications.
- Determines requirements by working with customers.
REQUIRED TECHNICAL SKILLS, TRAINING & EXPERIENCE
- At least 1-2 years of professional experience
- Certificate in Business Administration or any related field. Diploma will be an added advantage
- Must be honest
- Hard worker and a team player
- Computer literate
- Able to work under pressure
