Pharmaceutical Services Officer Wanted: Society for Family Health (SFH) Zambia


Society for Family Health (SFH) seeks an experienced individual for the position of Pharmaceutical Services Officer who will be responsible for ensuring quality assurance and quality control in the warehouse operations relating to all medical and pharmaceutical products. This includes inspection of all incoming goods for acceptance or rejection of goods, comparing incoming packaging and promotional materials against original artwork and designs, and storage and handling compliance. Further, this position is responsible for occupational and environmental safety regulations, ensuring that employees are working in a safe environment.

Responsibilities

  • Ensure the procurement of all health commodities and pharmaceutical products including donated products is in line with international and national (Zambia Medicines Regulatory Authority) regulations and s/he must sit on the evaluation committee prior to purchase
  • Facilitate process of registration and over-branding program for Society For Family Health (SFH)pharmaceutical products, in liaison with all relevant manufacturers, statutory bodies (Zambia Medicines Regulatory Authority/City Councils), programs, etc
  • Monitor and control the distribution of all Society For Family Health ( SFH) pharmaceutical and allied products on behalf of the organisation in all the platforms and sites in conjunction with partner organisations
  • Maintain records, and keep on file all relevant licenses for Society For Family Health (SFH) health commodities and pharmaceutical products and over-branding requirements on behalf of the organisation
    Follow up on compliance and payment of statutory fees with Zambia Medicines Regulatory Authority (ZAMRA)
  • Liaise with the Warehouse Manager to ensure guidelines for proper storage of pharmaceuticals and health commodities are observed
  • Monitor stock taking exercises and inventory management as detailed in the Populations Services
  • International (PSI) warehousing & logistics manual
  • Inspect all pharmaceutical products and health commodities delivered to the central warehouse for quality, quantity, and adherence to specification(s) per the shipping documents, the purchase order and samples supplied
  • Ensure receiving policies are observed as defined in the Populations Services International (PSI) warehousing & logistics manual
  • Ensure all health commodities and pharmaceutical products are tracked by lot number and expiry date
  • Lead the process of conducting cycle counts against the bin cards and Lawson Active Stock Report and reporting all discrepancies
  • Conduct daily tours of the warehouse to ensure that all quality standards are being maintained
  • Revise process flow of goods as necessary to ensure all products are stored according to their requirements
  • Manage receiving, storage and disposal of all expired or redundant goods to ensure compliance with national laws and best practices
  • Advise regional Populations Services International (PSI) warehouses on good warehousing practices
  • Monitor warehouse movement of all pharmaceuticals and health commodities; prepare monthly warehouse and field materials report, including quality and quantity assessment, and recommendations or improvements
  • Raise any warehouse, inventory, quality control issues, to the Warehouse Manager as soon as they arise, making recommendations to facilitate rapid resolution
  • Undertake any other assignments upon request by supervisor
  • Reporting to Supervising Pharmacist in all areas pertaining to procurement, storage, distribution and any other technical issues regarding Pharmaceuticals and Allied substances/products

Qualifications

  • Diploma in Pharmacy
  • A registered member of Health Professions Council of Zambia
  • Minimum of 5 years work experience in a reputable organization
  • Knowledge on pharmaceutical regulatory requirements
  • Maintaining of required pharmaceutical standards
