Working in Zambia since 1996, Plan International Zambia’s development and capacity building programmes focus primarily on Education, Health, Water and Sanitation, Economic Security and Youth Empowerment, including Child Protection and Participation. Plan International Zambia has programme units in; Central, Luapula, and Eastern Provinces including in Lusaka, where the Country Office is located.

Plan is seeking suitable persons to fill the positions below:

Human Resource Assistant – CO (3 Year contract)

This role will support and contribute to the attainment of the overall strategic business plans and objectives of the human resource function. He /She will support the day to day operations of the Human Resource & Organizational Development department. The Human Resource Assistant proactively assists with the development and achievement of the HR and Organizational outcomes in line with the Country Strategy Plan (CSP). The HR Assistant is part of the HR team and will be reporting to HR & OD Coordinator.

 Key areas of responsibility include:

  • Ensures that all staff provide  all required documents for personnel file as per checklist and sign all Plan Policies
  • Assist HR and OD Coordinator with the hiring process, including submitting job postings online and scheduling candidate interviews
  • In liaison with HR& OD Coordinator, prepare staffing statistics and inventory and any other required HR reports for onward submission to the  Country HR Manager and concerned authorities as advised by the supervisor
  • Coordinate HR projects (meetings, training, surveys etc.)
  • Act as a focal person between the HR department and other Plan Zambia offices in the Programme Units and proactively manage incoming/outgoing correspondences
  • Handle the Stanbic Staff Savings scheme records and other staff services on the scheme
  • Handle medical and accident insurance issues and ensure related information is updated  regularly, respective accounts managed and staff access their respective benefits with ease
  • Monitor and keep register of probation periods for new staff
  • Notify line managers of due dates for probationary assessment in good time  and send documented reminders to relevant supervisors
  • Prepare confirmation/extension  letters
  • Staff exit management, clearances, certificate of service and commencement of benefits processing

Individual Specifications:

  • Advanced Diploma in Human Resource Management/Public Administration/Business or related field.
  • Degree is added advantage
  • At least 2-3 years practical experience as HR professional
  • Excellent technical knowledge on general HR areas
  • Knowledge of operationalizing HR in a busy NGO environment
  • Ability to build strong relationships and networks at every level with the country Office and outside
  • Member of the ZIHRM is a must
  • Excellent written and spoken Communication skills ( English)
  • Excellent interpersonal skills
