RECEPTIONIST x 1
Job Purpose
To be the first point of contact in the organization and to manage the front desk on a daily basis and perform a variety of administrative and clerical tasks.
Key Responsibilities
- Greet and welcome guests as soon as they arrive
- Direct visitors to the appropriate person and office
- Answer, screen and route incoming phone calls to the appropriate person
- Providing premium quality support to internal and external clients
- Ensure reception area is clean, tidy and presentable, with all necessary stationery and office materials in place
- Provide basic and accurate information in person and via phone/email to clients
- Updating of visitors’ log book and maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook and visitor register)
- Ensure meetings taking place in the Boardroom are booked for
- Completion of renewal forms for approvals
- Compile list of stationery requirements for procurement to purchase
- Manage all incoming and outgoing mails/packages to be delivered/picked up by courier service
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and sending mail
Key Requirements
- Proven work experience as a Receptionist, Front Office Personnel or in a similar role
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Outlook, Excel, etc.) and latest office gadgets and applications
- Hands-on experience with office equipment (e.g. binder, photocopy machines, printers, etc.)
- Professional attitude and smart and neat appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Time-management skills, with the ability to prioritize tasks
- Should have experience working in a call centre
- Not more than 30 years old
Minimum Qualifications
- Full grade 12 certificate with 5 credits or better; English and Mathematics a must
- Secretarial Certificate
- Customer Relations Certificate
- Business Administration diploma will be an added advantage
Assistant Systems Administrator x 1
Job Purpose
To support the group with the day-to-day operations of the computer systems and networks such as intranet, LANs and WANs at head office and all its branches countrywide. To administer, upgrade and install servers and related components to support various applications both on server(s) and staff workstations.
Key Responsibilities (include but not limited to)
- Where applicable, the Assistant Systems Administrator will assist in overseeing the physical security and integrity of the organization’s IT systems
- Prioritizes and performs file system configuration and management; defines and perform server backups and recovery procedures
- Reviews server logs for resource issues and plans and implements server upgrades, maintenance fixes, etc.
- Provides Web administration support by overseeing and maintaining SharePoint or other Web and/or SQL servers as required. Manages enterprise directory services and supporting server infrastructure
- Develops and maintains server documentation materials
- Runs and tip CAT5e/6 and fiber cabling
- Develops new hard drive images using Microsoft deployment tools in accordance to DOS guidelines
- Implements policies, procedures and technologies (including firewalls) to ensure server security
- Participates in the rotation for ISC or IPC
- May be assigned to perform the temporary duty to constituent Posts to perform IT support duties
Minimum Certifications
The following Certifications are desirable
- Cisco Certified Entry Networking Technician (CCENT).
- Cisco Certified Network Associate (CCNA).
- Microsoft Certified Systems Administrator (MCSA)
- Microsoft Certified Systems Engineer (MCSE)
Qualifications
- Full grade 12 certificate with 5 credits or better; English and Mathematics a must
- Degree in Information Technology from a reputable university, or a minimum of two technical certifications, including; one Microsoft Windows Server 2012/2016 certification and one Microsoft Windows 10 Client Operating System certification
- At least two years or equivalent work experience as a Systems Administrator on a Local Area Network of at least 50 client workstations or in a similar role
- Demonstrate familiarity with Microsoft Windows Server 2012 and above; Office 365; MS SQL Server 2005 and above and Internet Information Server (IIS) Microsoft Office Suite 2010 to include Access database(s)
- Basic Knowledge of Apple operating systems including iOS, OSX, and Mavericks VMWare implementation, configuration, and administration. This includes creating and managing virtual machines within the VM environment
- Installation, configuring, and maintaining of server hardware, software applications, and associated network equipment to include SCSI, RAID, and I/O topology
- TCP/IP network protocols, firewall management, and client operating systems.
- Active Directory/Global Catalogue
- Configuration of Cisco devices via console and Cisco Network Assistant (CNA)
- Implementing and administering Microsoft Windows 10
- Hands-on experience in Sage X3 and Sophos Firewall a must
- Performs other duties as assigned by the superior
