SCOPE: Registrar of Students, Faculty Facilitator, Quality Assurance, Academic Records, Events, managing the day-to-day classroom Administration & Finance.

Job Summary

To assist the Director in day to day operations of RBTCZ. To manage the provision of efficient and cost-effective administrative management services to RBTCZ in the area of general administration, office support, and record-keeping to enable RBTCZ to achieve its strategic goals and objectives.

Main Duties and Responsibilities

  1. Serve on the management team of RBTCZ with the Director and Administrative Assistant
  • Meet weekly with the MT to help deal with student matters and evaluate decisions for the training center administration
  • Clearly have a value and love for people
  • Help support and fulfill the mission, vision, core values and goals of Rhema Bible Training Center
  1. Office Management
  • Pro-actively work with the Management Team to create and maintain a logical enrolment process
  • Responsible for completion and submission of government filings/returns and requirements i.e serve as a liaison to City of Lusaka, other governmental agencies regarding documentation, or any other concern that arises.
  • Oversee compilation of Student Handbook and Standard Operating Procedures(SOP) Manual for the Admissions office
  • Ensure that admissions procedures are congruent with Student Handbook
  • Oversight of accurate and quality documentation, admission registration, examination and results systems
  • Respond to curriculum development by revising, drafting and interpreting RBTCZ rules and regulations
  • Ensure follow-up of decisions taken in Management Team and Faculty meetings
  • Carry out basic student duties (disciplinary matters, etc.)
  • Work with Director to establish procedures for communicating to other staff regarding sensitive issues that could affect leadership placement of decisions
  • Train in Database, ensuring that all Administrative staff are able to work effectively in the sections of the Database necessary for their function
  • Record and Compile detailed report at term and academic year-end
  1. Oversee ALL the Financial Operations of RBTCZ: (Bookkeeper)
  • Work with Director to lead in the research, development, presentation and approval of the annual budget
  • Work with the Director to prepare reports and financial statements of receipts as and when needed
  • Provide the basic documents to implement the disbursement of all ministry funds in accordance with officially established procedures
  • Maintains a system of controls to ensure that expenditures do not exceed appropriations of approved budget limitation
  • Provide overall cash management of all ministry funds
  • Responsible for coordinating all audit activities with the auditing firm designated
  • Provide monthly reports on student fees for the Director
  • Responsible for procurement
  1. Class Room Activities
  • Oversight of all classroom activities
  • Liaison between faculty and technical support as and when needed

Announcements:

  • Receive, study and approve all announcements
  • Oversee printed announcements for distribution by monitors
  • Scheduling and preparation of announcements for chapel
  • Ensures all course content Assignments, Notes and Exams are available from faculty for editing, formatting and printing before a course commences
  • Schedule and oversee school calendar
  • Schedule and oversee prayer or praise and worship for Tuesday & Thursday chapels in conjunction with Director
  • Ensure that students are up-to-date with payments of Tuition Fees
  • Grade Enquiries
  1. Practical Ministry
  • Answer questions about RBTCZ, give directions, communicate current schedule, relate the content of the information brochure and answer questions accordingly etc.
  • Serve as an ambassador in promoting RBTCZ through church visitation and other Christian events
  • Oversee All the Campus Operations
  • Work with Facilities Manager to insure that the facilities and grounds are kept in mint condition through systems of cleaning, maintenance and improvements as well as the security of assets, property and persons on RBTCZ/MLFC grounds
  • Preparation and overseeing of graduation
  1. Oversee Communications
  • Work with the Director to design and produce the communication for RBTCZ through SOPs, website, brochures and other publications
  • Ensure that staff and volunteers are inspired and informed regarding the vision and activities of the training center
  • Ensure that all communication is done with creativity and excellence
  1. OTHER
  • Provide care, love and encouragement to all staff and volunteers with whom you have contact or dealings
  • Provide training, support, encouragement, supervision and motivation for staff, volunteers and students when requested
  • Perform all other duties assigned by the Director
  • Adhere to the RBTCZ Staff Statement of Ethics
  • Be loyal to the Directors
  • Your job description may be changed at any time to suit the needs of the institution and the changes will be communicated in writing
  1. Qualifications, Knowledge, Skills and Abilities:
  • Minimum of 5 years’ experience in significant leadership and administrative oversight
  • Bachelor’s degree in Theology, Business Administration or any related field. Rhema Bible Training Center Diploma is an added advantage
  • Familiar with SAGE processing system
  • A keen sense of detail, precision and a drive to ensure adherence to high standards
  • Experience of working in a team in a leadership capacity and ability to delegate, train others and develop new leaders
  • Has experience in, and zeal for the work of ministry
  • Exhibits a strong devotional life and an abiding relationship with Jesus Christ
  • Excellent verbal and written communication skills
  • Ability to work in a rapidly changing environment
  • Ability to resolve conflict in a productive manner
  • Ability to take direction & feedback
  • Collaborative & team-focused
