Save the Children International Job Vacancy in Zambia: Procurement Officer Cleaning


TERMS OF REFERENCE

BACKGROUND

Save the Children, Zambia Country Office based in Lusaka seeks a suitable cleaning and gardening service contractor to provide office cleaning and gardening services set in the scope of work below.

TASK OBJECTIVES

The objective of this contract is to obtain the services from a reputable, experienced, and qualified contractor who can provide efficient office cleaning and gardening services to Save the Children’s leased property as set below in the scope of work.

The contractor is to provide qualified personnel to perform the contracted services to the level acceptable by the customer. The service provider will provide cleaning stewards, a reliever, a visiting supervisor and a visiting fumigator for the services. The contractor is also to provide all detergents, pesticides, landscaping and other equipment needed for the scope of work.

SCOPE OF WORK

The contractor shall provide for the following services: –

(i) Daily office cleaning services

The cleaning company will be required to provide qualified personnel to perform daily cleaning services of the office premises as detailed below: –

  • Routinely clean and refresh the office washrooms throughout the day
  • Wipe desk surfaces, filling cabinets, open spaces and boardrooms
  • Thoroughly clean and disinfect the washrooms
  • Sweep and mop the open tile floor surfaces
  • Clean and vacuum Save the Children vehicles
  • Wipe, clean doors and windows
  • Empty individual office paper dustbins
  • Scrub the floor surfaces and wipe walls
  • Annual fumigation and pest control of office premises
  • Routine cleaning of tea utensils and the tea areas are clean

i) Gardening and Landscaping services

  • Regular mowing and grass removal
  • Sidewalk and driveway edging and planting of flowers
  • Trimming and power blowing/sweeping to remove debris

HEALTH and SAFETY

Health, Safety and Security is paramount on the SCI office premises. All employees of the contractor shall strictly adhere to the Standard Operating Procedures on health, Safety and Security guidance provided. The Contractor shall:

  • Take reasonable care of their staff health and safety as well as that of other persons who may be affected by their actions.
  • Be solely responsible for the care, protection and safety of the workers.

The contractor/company shall provide the Personal Protective Equipment (PPE) to its employees. As minimum coverall and hand gloves are to be worn by all on site.

  • The cleaning team shall endeavor to execute to the highest standard and will be reporting to the Administration Officer at Save the Children.

SECURITY

The contractor must share the personal details of the staff to be deployed at Save the Children to include the following: –

  • Provide a list of staff to be deployed indicating the full names and addresses.
  • Provide visible Identity cards to their workers and this should be worn at all the time during work.

TIMELINE

The contract duration will be for a year with the possibility of renewal.

MANDATORY APPLICATION REQUIREMENTS

  1. Company profile with a copy of Certificate of Incorporation
  2. Copy of valid Tax Clearance Certificate
  3. Schedule of total employees (hired by the company)
  4. Evidence of schedule remitted to NAPSA for month December 2018
  5. Three months bank statements for October, November and December 2018.
  6. Proof of employees registration with Workers Compensation
  7. Annual PACRA Returns for 2017 & 2018
  8. Provide 3 business client Referees
  9. Formal Quotation

  • Site inspection of the office premises for both Lusaka and Kalulushi will take place from Monday 21st January to Thursday 24th January 2018 between 08:30 and 16:30 hours. Kindly note that this is a condition precedent to be met for successful submission of cleaning and gardening proposal.
