Dot Com Zambia is a suite of e-commerce company specializing in personal shopping, shipping and supply chain management for customers living in Zambia wishing to make online purchases or source goods from the USA, China, the UK and from within Zambia. Those purchases are processed and consolidated in our various offices around the world and then exported to the head office in Lusaka, Zambia. In addition the company builds and operates e-commerce platforms for businesses within Zambia such as Bus Tickets Zambia. Dot Com Zambia is looking for a special assistant to the CEO, who will be responsible in assisting the CEO in their day to day running of the organization. As Special Assistant, you will be exposed to an extremely wide range of responsibilities, not just administrative duties such as communication, phone calls and customer service. You will help drive special projects, participate in selected external meetings with clients and partners, conduct research and lead new initiatives. Responsibilities
- Managing the CEO’s workflow and priorities by managing his schedule and anticipating steps ahead
- Assisting and handling e-mails, phone calls and correspondence for the CEO
- Preparing for and following up on internal and external meetings when needed, participating directly in external meetings and following up with the relevant parties
- Providing members of the Leadership Team leverage in moving projects forward by assisting with information gathering, communicating with different parties, developing and monitoring plans, keeping track of responsibilities, and so on
- Managing special projects assigned by the CEO
- Prioritizing and managing multiple projects simultaneously and following through on issues in a timely manner
- Overseeing select day-to-day operational functions, which may include compiling daily reports for the CEO such as sales and expenses
- Ability to write project proposals and reports as well as creating presentations and shareholder material

- Most likely, the successful candidate will have some years of professional experience in a range of areas and capacities that positions her or him to take on a broad spectrum of different kinds of responsibilities
- Experience of being productive in a fast paced startup team or supporting senior managers would be relevant but no particular type of experience is a prerequisite, as the right candidate will be someone who can quickly learn to do things they’ve never done before
- Dynamic, flexible and multi-skilled individual who can handle the multiple roles required to support the CEO of a busy SME
- Ability to Drive will be a plus
