Job Summary

The job involves managing all in-bound and outbound e electronic mails. The Job also entails scrutinizing all hard copy mails for appropriateness in line with the ChildFund International Ethical Behaviour Towards Children Policy. The job holder is also supposed to maintain up to date records of SR correspondences and transactions in Salesforce/LTE. Support the Sponsor Relations Coordinator in ensuring quality and timeliness in all the child communication processes. Additionally, the Assistant Sponsor Relations will provide operational and administrative assistance to the Program and Sponsorship Director, performs a variety of administrative, coordination and logistical services in support of the operations of the Program and sponsorship department. This will include maintenance and archiving of documents for program and Sponsorship.

Key Responsibilities

  1. Remain alert and responsive to any child safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices, understand the child safeguarding policy and procedures, and conduct yourself in a manner consistent with the Child Safeguarding Policy
  2. Sponsorship management and mailing : Scheduling child and sponsor communication in the system through the generation of mail control slips. Receiving child letters from all ChildFund Zambia local partners and ensure they are dispatched through courier. Collect inbound mails and packages from the post office on weekly basis. Preparing weekly mailing schedules and collecting way bills for updates in the monthly mailing reports.
  3. Quality Control: Ensure all inbound and outbound mails are screened for appropriateness according to the ChildFund child sponsorship SOP.
  4. Maintain and Archive Program and Sponsorship Documents: The job holder will maintain and archive documents for Program and sponsorship department. The Job holder will also keep up to date folders on the performance of each of the Local Partners for easy follow up and support.
  5. Assists in the coordination and tracking of e-filing and archive hardcopies of final minutes, reports and other documents
  6. Assists in the orientation of new staff, interns, research fellows and consultants by providing them with the necessary documents and materials for orientation
  7. Documentation: Documenting all the mailing and other departmental process for sharing and orientation purposes. Filing all appropriate records such as acquittal forms, waybills and cover lists for easy reference and accountability.
  8. Child participation: Support the sponsor relations coordinator in facilitating planned child participation activities in all local partners.
  9. Performing any other duties that may, from time to time, be assigned by the immediate supervisor and or the Head of Department.

Qualifications

Degree or Diploma in Social Work, development studies or any other Social Sciences.
