Job Title: Human Resource and Administrative Officer.
Responsibilities:
The Position of the Human Resource and Administrative Officer reports directly to the Business Support Manager. The Officer shall be responsible for HR functions and general administration in the organization.
Job Description:
The functions shall include but not limited to the following:
1. Employee Relations:
- Coordinate the development of Human Resources policies for the organization with regard to employee relations;
- Creation and Maintenance of Personal files and other employee related data base
- Partner with management to communicate Human Resources policies, procedures, programs, and laws;
- Management of personal transactions such as leave days, overtime and advances
- Recommend employee relations practices necessary to establish a positive employer-employee relationship and promote a high level of employee morale and motivation;
- Participate in the conduct of investigations when employee complaints or concerns arise;
- Advise managers and supervisors about the steps in the progressive discipline system of the company. Counsel managers on employment issues;
- Comply with all existing government and labor legal and government reporting requirements and maintain minimal company exposure to lawsuits;
- Protect the interests of employees and the organization in accordance with company Human Resources policies and governmental laws and regulations.
- Setting up and Conduction disciplinary policies and procedures
- Prepare and analyze reports that are necessary to carry out the functions of HR
2. General Office Operations
- Manage daily administrative operations of the office and assist all units in resolving problems related to the day-to-day operations;
- Supervise the work of in-house cleaners to ensure that the office and guest house are kept clean and pleasant at all times;
- Organize, assign and supervise the work of administrative support staff;
- Oversee the management of office supplies and stationery and ensure replenishment;
- Ensure that administrative office procedures and established standards are adhered to and maintained in all aspects of work;
- Arrange for any maintenance work that needs to be carried out in the office;
- Ensure comprehensive general risk insurance is taken and claims are handled as appropriate by the agencies for company assets
- Ensure efficient service provision for in-house meetings by the administrative support staff
Key Qualifications and Experience required:
- A Degree in Human Resource Management, Public Administration, Administration or equivalent degree from a recognized University/Institution;
- Must be a member of The Zambia Institute of Human Resource Management.
- Minimum of 4 years’ experience in HR and Administration;
- Training in employment law, compensation, organizational planning, employee relations, safety, training, and labor relations;
- Should be able to work independently in a diverse environment;
- Strong understanding of and the ability to interpret and action labor laws.
- Analytical, excellent data management ability;
- Evidence of the practice of a high level of confidentiality;
- Intelligent, motivated self-starter with strong interpersonal skills and work ethic
