Responsibilities:
- To be courteous and promptly handle all reservations received on the phone, by mail, telex etc.
- To type out the advance reservation slips and maintain the reservation racks and correspondence files.
- To carry out amendments and cancellations intelligently and accurately.
- To extend a warm and courteous service to all guests /management and employees of the organization.
- To be informed on daily status of clients.
- To have detailed information regarding guest arrivals, their room requirements and except for the departures of the day.
- To check up on VIP ‘s reservation and issue VIP amenities voucher for fruits, flowers and beverages etc in consultation with a shift in charge /GRE.
- To greet the guest and address them by name whenever you see them and ensure all required details like date of departure address and mode of payments etc are filled in properly on the registration.
- To ensure a good ready room is allotted to the guest and ensure the rate card with the correct rate is given to all guests during check-in.
- To constantly update room rack/information rack.
- To ensure all the complaints and requests received from the guests are recorded in the guest complaint log book and followed up at regular intervals.
- To prepare a room discrepancy report and double check with the Lobby Manager.
- To inform all departure details promptly to housekeeping, room service, and the telephone departments within five minutes of the departure of the guest.
- To feed in the data collected from the guest through the registration card, on to the computer and keep updating on a regular basis.
- To sell high priced rooms to the guest by skillful salesmanship.
- To update customer profiles and correspondences.
- To ensure all messages are transmitted in time and also messages are sent back to the guests.
- To answer all incoming calls for guests and reports /record all messages.
- To handle all guest mail information parcels, telegrams as per laid down procedures.
- To always be ready to answer queries on house and places of tourist interest.
- To keep information aids like timetables, road maps, hotel guide etc handy.
- To ensure that the log book is read and signed every day before the shifts.
- To assist the telephone operator whenever required.
- To handle the board and answer all incoming calls by guests and employees.
- To check for the numbers of the registration cards and printing card sent.
- To take room occupancy report/occupancy statistics/discrepancy reports.
- To execute special assignments as and when assigned by the suppliers.
- To check at the business centre for faxes and guest requests.
- To monitor the T.B.E.M processes.
- To implement & monitor ISO 14001 – Environmental Management System, EMPs & O&Ts, OCPs, and training of staff.
- To enable and adhere to the principles and work practices detailed under HACCP system in the department viz., food safety, hygiene and cleanliness, health, storage etc as applicable to the area of your workplace.
- To co-ordinate mainly with housekeeping, maintenance, security, room service departments as well as coordinating with all departments.
- In addition to the above functions, any other assignment/job given by the Management occasionally or on a daily basis to be performed respectively.
Desired Qualifications, Experience:
- Diploma in Hospitality and Hotel Management.
- 3 years’ work experience with at least 1 year in Management.
- Prior experience handling VIP guests.
- Knowledge of reservations systems.
- Working knowledge of Opera software will be an added advantage.
