Background
UNDP and Government of Zimbabwe with support from bilateral donors are working to establish a Resilience building Fund for Zimbabwe. The overall objective of the Fund is to contribute to increased capacities of communities to protect development gains and achieve improved well-being outcomes in the face of shocks and stresses enabling them to contribute to the economic growth of Zimbabwe.
The Project Associate will be under the direct supervision of the Head of the ZRBF. He/she will be based in the project unit at UNDP. The PA will provide administrative and management support to the Fund for effective and timely delivery of results.
Duties and Responsibilities
Provide effective support to the management of the Fund focusing on achievements of the results:
- Draft official correspondences for the signature of the Country Director;
- Implement a filing system for all correspondences to and from the ZRBF;
- Support work planning and scheduling for the ZRBF team;
- Provide secretarial support as needed;
- Monitoring, controlling and providing regular up-dates on ZRBF finances using Atlas as the financial platform in line with rules and regulations;
- Ensuring payments are processed with supporting documents and in time;
- Monitoring and reporting on expenditures, including supporting the finance specialist in budget revisions;
- Providing inputs to annual work plans and reports based in line with assigned area.
Leads administrative and logistical activities of the Fund Management Unit:
- Supporting the organization of ZRBF activities, including workshops and other major events;
- Manage procurement for ZRBF including creation of registrations and register of goods and receipts for submission for up-loading in Atlas.
Supports resource mobilization focusing on achievement of the following results:
- Review of contributions agreement, follow up on workplans and requirements;
Managing contributions in Atlas; - Collecting and presenting information on donors and maintenance of donor databases.
Supports knowledge building and knowledge sharing in the project focusing on achievement of the following results:
- Participation in the trainings for the operations/ projects staff on Fund management;
- Contributions to knowledge networks and communities of practice;
- Support the development of best practices and lessons learned from the Fund.

- Required Skills and Experience
Education:
- Secondary Education preferably with specialized certification in Business Administration;
- University Degree in Business or Public Administration, Economics, Political Sciences and Social Sciences would be desirable, but it is not a requirement.
Experience:
- 6 years of progressively responsible administrative or programme experience is required at the national or international level;
- Experience in the usage of computers and office software packages (MS Word, Excel, etc) and knowledge of spreadsheet and database packages;
- Experience in handling of web based management systems;
- Knowledge of the UN system will be an added advantage;
- Experience working with bilateral donors desirable.
Language:
- Fluency in the English and any one local language.
