Winrock International Zambia Job: Finance & Administration Assistant
Winrock International is recruiting for the position of Finance & Administration (F&A) Assistant for a program to combat child labor in tobacco-growing communities through education, awareness, and economic empowerment. The program is based in Kaoma, Zambia and is funded by Japan Tobacco International. Verbal and written fluency in English is required.
Responsibilities:
- Coordinate procurement of goods and services. This may include requisition and collection of quotes, processing of purchase orders and contracts, collection of goods from vendors, etc.;
- Maintain project inventory report;
- Oversee and manage office supply stock;
- Manage and account for office petty cash;
- Monitor vehicle log book to ensure consistent application of Winrock/ARISE vehicle policies and follow-up on vehicle servicing schedule;
- Assist Accountant with coordination of payments and recording of expenses as needed;
- Maintain updated and accurate F&A and program filing system, including monitoring and evaluation (M&E) forms and programmatic reports;
- Assist M&E Coordinator with recording and maintaining M&E data as needed;
- Respond promptly to incoming program emails, mail, and telephone calls and ensure inquiries are addressed in a timely manner in consultation with the relevant staff;
- Support staff in organizing meetings and trainings, including coordinating logistics and liaising with finance staff to ensure timely payments;
- Support the preparation of programmatic training and outreach materials;
- Take notes in staff meetings and team briefings and circulate minutes;
- Take notes at workshops and trainings;
- Complete other tasks as assigned by Winrock.
Qualifications and Experience:
- Diploma or above from a recognized and accredited college/university.
- Excellent knowledge and skills in office management, logistics, procurement, and administration;
- Three or more years’ hands-on experience in day-to-day office support functions and administration for an international NGO preferred;
- Excellent communication skills, including fluent spoken and written English;
- Excellent working knowledge of office software packages including Microsoft Outlook, Excel, Word, and PowerPoint;
- Able to work as part of a team and be self-sufficient in organizing own work;
- Able to work with attention to detail and to meet deadlines;
- Able to travel to rural project sites and interface successfully with community members.
