The Zambia Bureau of Standards (ZABS) is the Statutory National Standards Body for Zambia established under an Act of Parliament, the Standards Act, Cap 416 of 1994 of the Laws of Zambia for the preparation and promulgation of Zambian Standards. Its main role is the formulation of National Standards, Quality Assurance and removal of Technical Barriers to Trade.

(1) Job Title: Office Assistant

Key Responsibilities

• To record all departmental incoming and outgoing mail
• To be in charge of distribution of mall to appropriate offices and stakeholders
• To ensure that the Offices are cleaned on time
• To ensure that the office of the Director has hot water in the flask at all times.
• To serve beverages and refreshments at Board meetings and Management meeting
• To have basic skills of binding and photocopying office documents.
• To run errands on behalf of the Bureau, e.g. buying of simple supplies
• To undertake such other related tasks and responsibilities as the Supervisor may from time to time deem necessary and appropriate

Qualifications, Experience and Personal Attributes

• Full Grade 12 Certificate
• Minimum two (2) years’ work experience
• Good organizational and analytical skills
• Good Communication skills both written and oral
• Basic Computer knowledge
• High level of Integrity and confidentiality, sober character, ethical and pubic of working with minimum supervision.

(2) Job Title: Records Assistant

Key Responsibilities

• To record all departmental incoming and outgoing mail
• To be in-charge of distribution of mail to appropriate offices and stakeholders
• To assist in the typing of departmental correspondence and any other related work.
• In liaison with staff implement procedures on activities in the department
• To create a database of all clients to the Bureau under the department which can be easily accused by the inspections Manager and Inspectors
• To be the link between Head office and all border and provincial offices
• To prepare meeting rooms for ail meetings under the department
• To arrange and coordinate transport for Inspectors In the department in conjunction With administration
• To record consumer complaints referred to the department and. submit them to the Head of Department.

• To create a database of all samples and test results for the department
• To receive samples and ensure that they are taken to testing laboratories and take responsibility of sample under his/her care in order to enhance traceability
• Undertake such other related tasks and responsibilities as the Inspections Manager may from time to time deem necessary and appropriate

Qualifications, Experience and Personal Attributes

• Full Grade 12 Certificate
• Diploma in Library and Information Studies/Diploma in Record Management
• Minimum two (2) years’ work experience
• Good organizational and Leadership skills
• Good analytical skills
• Good Communication skills- both written and oral
• Computer literate (Word processing, spreadsheets, power point and internet)
• High level of integrity and confidentiality, sober character, ethical and capable of working with minimum supervision
